Job Summary
Provides support to Department Administrator, Chair, Director of Graduate Studies (DGS), Director of Undergraduate Studies (DUS), faculty, and students. Principal source of information for students, visitors.
Position Description
- Processes student payrolls.
- Gathers sources of student salary from GSAS, FAS, administrators & faculty
- Processes Associate & Lecturer appointments.
- Arranges travel for students, faculty, visitors.
- Uploads tuition; prepares bills for payments.
- Assists with admissions process for the graduate program.
- Maintains student records for Department files, and for progress to the degree.
- Maintains Department website & Dept's presence on social media
- Gathers & prepares information for Courses of Instruction & other publications.
- Reserves classrooms & meeting spaces.
- Arranges access to internal computer systems.
- Source of Assistance for students-will make referrals as necessary
- Organize meetings and assist with Department events.
- Assist DGS with CAS records, keeps track of various student committees, record meeting minutes.
- Assist DUS with various duties as needed.
- Together with DA will keep track of various financial records.
- Meets with potential students to explain the degree process.
- Manages small supply area for department office.
- Manages student mail area; provides support for student printing stations.
- Works with the general public.
- Will perform other duties as required.
Basic Qualifications
A minimum of five years administrative, office or related experience. Education may count towards experience.
Additional Qualifications and Skills
- Bachelor’s degree strongly preferred;
- Excellent organizational skills and ability to prioritize ever changing daily work-flow;
- Ability to handle confidential information with discretion;
- Excellent communication skills;
- Ability to work well with others;
- Ability to work with Microsoft Office and Open Scholar;
- Able to interact with the general public with professionalism and diplomacy
