Summary of Primary Function/General Purpose of Position
Under minimal supervision the Academic Administrator coordinates the day-to-day aspects of regional undergraduate and graduate medical education activities in the Regional Academic Affairs Office. The Academic Administrator will collaborate with the Designated Institutional Official, Institutional Coordinator, faculty, program coordinators and specialists, residents, medical students and the other institutional and regulatory administrative offices in the Toledo market. The Academic Administrator assists the GME office to ensure all educational accreditations needs are met and maintains relationships with medical schools and allied health schools to assist with the placement of medical students and PA students within the graduate medical education programs.
Essential Job Functions
Provides clerical and administrative support to the DIO and Regional Director including but not limited to typing of correspondence, project management, scheduling of meetings, handling confidential information and materials.
Coordinates the onboarding processes for medical students and residents. Collaborates with other departments responsible for administering training curriculum. Monitors the onboarding process for residents to include contracting, data collection and the necessary intracompany communication to secure human resources, information technology and any other required access for new hires.
Maintains regional resident policies and procedures. Complete audits for resident and program files to ensure compliance with ACGME. Provides clerical support for the Graduate Medical Education Committee. Help Director of Faculty Development through setting up meetings and tracking attendance. Ensure medical students are in compliance with hospital policies and procedures.
Reviews resident and faculty expenses for submission and reimbursement to ensure compliance with GME and Hospital policies. Monitors and process faculty physician payments.
Monitors physician contact renewals and assists the GME Office/DIO with preparation of contract requests for the PSC. Coordinates with the legal department to secure contracts and tracks signature progress. Provides monthly report to the DIO of upcoming contracts for renewal. Monitors and manages affiliation agreements with medical schools/universities and the timely billing for services provided.
Reviews applications for clerkships and assigns medical students and physician assistant students to available rotations. Ensures there is adequate space to foster educational learning for both residents and students.
Monitors and assists Programs with MyEvaluations. Monitors and ensures timely completion of monthly rotation and call schedules. Tracks and monitors meal stipend allowances based on call schedules in accordance with policies and procedures.
Has daily contact with a variety of people across the Toledo Market including physicians, administrators, program staff, residents, medical students and. Provides information via telephone, email and other forms of written and verbal communication
Maintains detailed information on leaves from residency program and processes payroll bi-weekly via Dimensions.
Assists the Academic Affairs office in planning and hosting various events across the academic year.

2 Year/ Associates Degree
Preferred Education:
4 year/ Bachelors Degree

Minimum Years and Type of Experience:
2 years medical education or administrative experience
Other Knowledge, Skills and Abilities Required:
Proficient with computer systems and software programs; strong organizational and time management skills; previous event planning experience; attention to detail; strong written and oral communication skills; ability to work independently, identify an resolve problems; Notary Public for the residency program.
- Combination of post-secondary education and experience in lieu of a degree.
