The Account Manager – Staffing is responsible for managing the relationship with our Master Service Provider (MSP) for clinical travelers across WVUHS. This will include posting of positions, evaluating candidate submittals, confirming offers and candidate acceptances, monitoring & approving compliance, entering travelers into Workday, confirming extensions, processing terminations, etc. In conjunction with the Director, this position will also be responsible for setting bill rates at levels that are both competitive, yet fiscally responsible. The Account Manager will coordinate with the Supervisors of the Staffing Solutions Program on open positions in order to fill them internally before going external.

The Account Manager will coordinate with the Supervisors of the Staffing Solutions Program on open positions in order to fill them internally before going external.

MINIMUM QUALIFICATIONS :

EDUCATION, CERTIFICATION, AND/OR LICENSURE:

1. Bachelor’s Degree or Associates Degree plus 5 years of work experience in an administrative, customer service or office setting or High School Diploma plus 10 years of work experience in an administrative, customer service or office setting.

EXPERIENCE:

1. 3+ years of experience working in a Recruitment or Account Management (recruiting related) role.

EXPERIENCE:

1. Experience working for an agency that places clinical travelers

2. Experience working for a health system within the HR, Talent Acquisition or Onboarding Departments

3. Experience with reviewing and monitoring compliance as it relates to onboarding new employees and/or temporary staff

4. Experience with Workday

1. Be the main point of contact for WVUHS with the MSP, interfacing with their Account Managers, Compliance Specialists, Clinical Team, Management, etc.

2. Work with Managers and Directors system-wide to post positions for travelers.

3. Review candidate submittals to check for rehire eligibility for prior employees or prior travelers.

4. Coordinate candidate offers for new placements and extensions.

5. Consistently monitor the market to ensure the bill rates are both competitive and fiscally responsible.

6. Contract new travelers into Workday in a timely manner upon acceptance; change end dates when extensions are signed.

7. Monitor compliance and confirm travelers to start once clear. Engage with Employee Health, Legal, Compliance as needed. Ensure proper first day/week instructions are passed along.

8. Act as the liaison between the MSP and the Managers/Directors if performance concerns arise with a traveler. Loop in appropriate parties if/when necessary: Employee Relations, Legal, Human Resources, etc.

9. Be the subject matter expert for Managers/Directors/HR as it relates to travelers and the market. Answer questions and do training on the process as needed.

10. Be the subject matter expert for the MSP as it relates to WVUHS. Answer questions and track down information as needed.

11. Consistently look for ways to improve and streamline the process system-wide to onboard travelers.

12. Work closely with the Staffing Solutions Program team to discuss open positions to ensure we are filling them first with our internal resource pool before going to agency for travelers.

13. Manage the onboarding of new hospitals and/or clinics onto the MSP Platform.

14. Be the point of contact to help resolve timesheet and invoicing discrepancies, escalating as necessary.

15. Run reports as necessary for Leaders across the system.

16. Work closely with Managers and Kronos team to ensure travelers are submitting their time accurately and that weekly reports are sent to MSP for payroll and invoicing purposes. Help resolve issues in a timely manner.

17. Work with MSP to coordinate QBRs.

18. Other duties as assigned.

SKILLS AND ABILITIES:

1. Must have a curious and questioning mindset, to get to root cause of issues or themes.

2. Ability to stay organized and efficient with high email and workload volume.

3. Must be able to utilize multiple technology platforms

4. Must be willing and able to collaborate and work with individuals having diverse personalities.

5. Extreme level of personal accountability as well as accountability to business partners.
