The Sales Accounting Administrator is responsible for performing general ledger accounting and balance sheet account reconciliations. Prepares journal entries and financial statements for the new and used sales departments. Post all truck deals and accurately completing all paperwork for audit processes.

  • Post truck sales related cash deposits such as wires and checks
  • Post and process truck sales commission accounting
  • Post truck sales deal accounting
  • Assist with the month-end closing process, conducting research and making correction journal entries for account discrepancies, prepares closing journal entries, posts accrual entries, and prepares financial statements related to the sales department.
  • Utilizes accounting system, billing system, spreadsheet, and presentation software
  • Process Mack/Volvo Dealer Financials.
  • Reconcile and record Mack and Volvo parts statements.
  • Research discrepancies and aged items on scheduled accounts
  • Assist all vendors as needed to clear all floorplan audits
  • Receive trucks into sales module and post factory invoice into general ledger
    o Ensure accurate price level
  • Reconcile the following scheduled accounts and post journal entries as needed;
    o 1111-Tag Title Receivable
    o 2286 – Accrued Warranties
    o 1170 – Sales Assistance Receivable
    o 2030/2060/2040 – Floorplan payable

o 2281 – Accrued Truck Expense

o All truck inventory accounts – 1210/1310/1230/1260

o 2201-Accrued Commissions related to truck salesmen

  • Prepare truck sales portion of sales tax payable and battery and tire tax payable
  • Submit Federal Excise Tax (FET) payable report to Corporate twice a month
  • Provide commission reports to salesmen and sales managers
  • Prepare and submit floorplan payoffs for funded units
  • Process vehicle registrations, lien recordings, temporary tags, and paperwork related to deal
    invoicing, finance documents and insurance
  • Retail and Warranty Register sold trucks
    o File extended purchase warranties on all sold trucks in a timely manner
  • Review and resolve any open items on internal statements, seek additional assistance as required
    o Nonpayment issues from OEMs for Sales Assistance (all brands)
    o Nonpayment issues from Remarketing Credits
  • Other duties, as assigned.

Preferred Candidates have the following:

  • Minimum 2 or more years’ experience in accounting or automotive accounting preferred
  • Associates degree in accounting preferred
  • Licenses or Certifications in accounting is preferred
  • Effective communication skills for relationship building with co-workers, vendors and customers
  • Basic math, reading, and ability to follow directions
  • Ability to meet deadlines and prioritize tasks; work efficiently with minimal supervision
  • Detail oriented
  • Proficient in Microsoft Office suite (specifically Word and Excel)

  • Regularly required to talk or hear, communicate with others.
  • Frequently use computer, phone, copier/scanner and other office equipment in the course of a day.
  • Required to stand and sit for prolonged periods at a desk and working on a computer.
