Morgan Harbour Construction, located in Willowbrook IL, is looking for an Accounts Payable Coordinator to join our team and support the Administration department and other personnel by performing administrative and accounting tasks.

Responsibilities:

  • Process general conditions and overhead invoices; includes obtaining team approval, coding, entering, cutting check, and entering in positive pay
  • Prepare monthly pay applications
  • Enter monthly pay applications into Timberline AP/AR
  • Set up Yearly AP Hard files
  • Assist in collecting lien waivers in exchange for checks from subcontractors
  • Entering & verifying all personnel time in Procore weekly
  • Post project general conditions by the 1stof month so that the team has the necessary info to complete PSR reports
  • Record deposits into Timberline
  • Working with the AIA software to draft construction contracts for clients
  • Assist in preparation of financial statements
  • Assist with bank reconciliations
  • Prepare monthly pay applications
  • Work with Sage 300 Construction and Real Estate and AIA software
  • Maintaining and organizing project hard files
  • Assist in answering and monitoring phones and door
  • Assist with filing and miscellaneous administrative overflow work
  • Backup for Admin & accounting staff when out of office
  • Perform other duties as assigned

Requirements:

  • High school diploma, Associate’s degree, or equivalent work experience
  • 1-2 years of experience working as an administrative assistant
  • Intermediate proficiency with MS Office and ability to learn company systems
  • Strong communication, interpersonal and organizational skills
  • Detail orientation
  • Ability to manage multiple priorities
  • Must have ability to perform duties accurately and rapidly under tight deadlines with minimal supervision.
  • Must be able to take direction and fulfill task requirements
  • Approachable, customer service orientation
  • Must have valid driver’s license and registration

Job Type: Full-time

Pay: From $55,000.00 per year
