Accounts Payable Coordinator manages all activities in the accounts payable function. Ensures timely payments of vendor invoices, check requests, credit cards, and expense vouchers and maintains accurate records and control reports. This include managing the A/P invoice flow through the office from incoming mail, inputting invoices into A/P accounting database, selecting invoices currently due for payment, and final filing of invoices. Duties also include ensuring W-9’s are obtained for all vendors, and managing the year-end 1099 process. Proof of Covid-19 Vaccination is required for this position.

ESSENTIAL RESPONSIBILITIES:

  • Process a large quantity of invoices, check requests and employee expense reimbursements for payment on a weekly and timely basis
  • Verify the accuracy of vendor invoices and confirm that correct general ledger account codes are used.
  • Ensure that proper approval process is being followed and supportive documentation is included for each AP transaction.
  • Reconcile the vendor accounts and ensure all past dues invoices are researched, resolved, and paid in a timely manner.
  • Respond to external vendors and internal managers/supervisors regarding all aspects of the accounts payable process, including processing invoices for payment, credit card transaction and reconciliations, assisting with bank reconciliations, and billing.
  • Shares department responsibilities for AP mailbox, incoming call, processing of weekly check and ACH payments, and maintaining vendor database with changes/new vendor requests
  • .Inspect paid and unpaid invoices including cleared payment inquiries and check voiding to maintain accurate files and records according to YWCA Metropolitan accounting policy and procedures.
  • Develop and maintain a filing system for financial information, records and documents to ensure easily available information.
  • Assist with various audits in regard to accounts payable requests.
  • Ensure that the organization is not paying sales taxes on transactions that should be exempt.
  • Ensures that checks are not outstanding for longer than 120 days.
  • Ability to remain flexible and adapt to changing priorities
  • Assists with special projects as needed

QUALIFICATIONS:

  • 3 years accounting/finance experience
  • Have a minimum of 2 years’ experience in working with the Financial Edge or similar accounting software database.
  • Strong interpersonal skills for interacting with staff and vendors
  • Good communication skills for communicating with personnel and management
  • Strong analytical and problem solving skills
  • Good presentation skills for educating staff on accounting principles and processes
  • Excellent planning and organizational skills to balance and prioritize work
  • Excellent interpersonal, communication and critical thinking skills and ability to work as part of a team

EDUCATION REQUIRED: Associates Degree in Related Field preferred, can be substituted with years of experience.

WORK SCHEDULE: Schedule is typically Monday – Friday, 8:00am-4:30pm, although schedule can vary depending on the needs of the agency. Hybrid remote – 3 day in office, 2 days remote.

Annual Pay Range: $48,000- $56,000
