Accounts Payable Supervisor
POSITION DESCRIPTION
Title: Accounts Payable Supervisor
Schedule: Monday - Friday
Location: Longview, WA
Classification: Full-Time, Exempt
Opening Date: December 15, 2022
Salary Range: $28.62-$40.07per hour DOE
Closing Date: Open Until Filled, first review December 29, 2022.
Position Summary:
Under supervision of Accounts Payable Manager, oversees all stages of the accounts payable function necessary to produce disbursement checks, electronic payment requests, and the production of accounts payable/purchasing reports in accordance with generally accepted accounting principles. Supervises individuals involved in all payable transactions. Honors and represents the mission, vision, values of Cowlitz Indian Tribe (CIT) and accounting department.

Essential Job Duties and Responsibilities include the following, and other related duties as assigned.
- Supervises, directs, monitors, and plans work activities of accounts payable staff.
- Improves staff effectiveness by training, mentoring, coaching, counseling, rewarding, and disciplining.
- Assists in interviewing, hiring, and terminating employment for staff as required.
- Oversees printing of accounts payable disbursements checks; enters or processes expenses in system in an accurate and timely manner; oversees the payment of credit cards.
- Completes credit applications and credit memos as needed.
- Conducts month-end and year-end closings and processes 1099s for all vendors; maintains an accurate database of vendor information and updates employee changes as needed.
- Processes tribal member payments and expenses for CIT enterprises; makes accurate and timely bank deposits.
- Processes debit and credit card machine transactions; processes checks, allowances taxes for enterprise outlets; and calculates and processes interdepartmental billings.
- Serves as a resource for problem resolution related to the accounts payable activities as interfaced with the general ledger; reviews and resolves fraudulent activities.
- Maintains, corrects, and improves the internal control environment to safeguard company assets and protects integrity of the accounting system.
- Ensures company expenditures have been authorized, classified correctly, and in compliance with policy.
- Follows up on vendor calls regarding invoice and payment disputes; makes recommendations on resolution of difficult issues.
- Prepares and presents reports on status, activities, and plans for current and future operations.
- Contributes to a team effort and accomplishes related results as required.
- Performs other duties as assigned.
Minimum Qualifications:
- Associates Degree in Accounting, Finance, or Business Administration required.
- Three years of accounting experience.
- Valid driver’s license is required when driving vehicles for work-related purposes.
- Must be able to successfully pass a background screening / investigation according to the established requirements below.
- 1-2 years of supervisory experience preferred.
Tribal preference in accordance with Cowlitz Indian Tribe Code and CIT Employee Policies and Procedures Handbook shall apply to all positions. All positions are required to adhere to CIT’s established safety policies regarding vaccine requirements and personal protective equipment (PPE).
Knowledge, Skills, and Abilities:
- Knowledge of traditional form of government and tribal customs and traditions.
- Knowledge of Generally Accepted Accounting Principles (GAAP) and applicable federal, state, county and local laws, regulations, and requirements.
- Knowledge of financial control systems and methodology.
- Knowledge of laws, rules, and regulations that apply to fiscal operations.
- Skill in operating various word-processing, spreadsheets, database, and accounting software programs in a Windows environment.
- Skill in supervising, training, and evaluating assigned staff.
- Ability to communicate effectively both verbally and in writing.
- Ability to interact and maintain good working relationships with individuals of varying cultural and social backgrounds.
- Ability to analyze, compare, and interpret facts and figures.
- Ability to analyze financial information and draw logical conclusions.
- Ability to read, comprehend, explain, and apply laws, regulations, policies and procedures.
- Ability to handle multiple tasks and meet deadlines.
- Ability to exercise independent judgment.
Supervisory Responsibilities: This position has supervisory responsibilities.
Background Investigation Requirements:
- Pre-employment drug screen.
- Reference checks, education, and employment verification.
- Federal, state, and/or tribal criminal history and sanction checks including fingerprint verification.

Physical Demands:
While performing the duties of this job, the employee regularly is required to stand; walk; sit; use hands to finger, handle, or feel; reach with hands or arms; and talk or hear. The employee occasionally is required to climb or balance; stoop, kneel, or crouch. The employee is occasionally required to lift up to 20lbs. Specific vision abilities required by this job include close vision and clarity of vision at long distance.
Work Environment:
Work is generally performed in an office setting with a moderate noise level. Evening and/or weekend work may be required. Tight time constraints and multiple demands are common. Travel may be required for training, meetings, conferences, presentations, and other events.
