Administrator, Accounts Receivable
Description:
Responsible for ensuring company receives timely payment for products/services sold. Facilitate & record payments. Identify delinquent accounts & tactfully initiate collections communications. Schedule payments & prepare billings for monthly invoicing. Assist with client billing inquiries- research & resolve.
Duties / Responsibilities:
- Receive physical check payments obtained from on premise lockbox twice weekly. Post and deposit checks.
- Prepare, verify & record customer payments & transactions. Maintain and update customer files and notations within accounting system.
- Review weekly AR reports, identify delinquent accounts & initiate collections communications. Escalate problematic accounts to management for review/action.
- Research and resolve client billing inquiries & discrepancies, liaise with other departments as needed.
- Proactively obtain approvals, schedule payments and follow up with clients by phone and email to facilitate payment of balances due.
- Remedy declined/expired credit card transactions/ACH Returns & update file information/resolve.
- Record incoming wire/ACH payments.
- Assist with invoicing clients for products and services sold.
- Assist with performing audits of licensing and other client services to ensure accuracy.
- Verify validity and report discrepancies found in records.
- Build and maintain a positive rapport with clients.
- Comply with federal, state, and company policies, procedures, and regulations.
Skills / Requirements / Qualifications
- Bachelor’s degree preferred or 3+ years relevant experience.
- General knowledge of economic and accounting principles and reporting of financial data.
- Exceptional customer service skills and attention to detail.
- Critical thinker who acts as a strategic partner to the company.
- Ability to follow through and manage time well.
- Communicate effectively in writing as appropriate for the needs of the audience.
- Maintain professional, courteous communication with clients at all times
