Purpose Statement:
The Administrative and Communication Coordinator will support our Senior Communications Manager and partner closely with executives, leaders, and business groups to build our brand, foster culture within the organization and advance reputation within local communities. This person will need the ability to communicate with a Board of Directors and Executive Leadership. Diligence, organization, responsibility and integrity are key skills.
Starting pay will be based on experience, education and skills relating to the role.
Essential Functions:
Your primary responsibilities will include:
- Administrative support: You will provide administrative support to the organization's executive staff, including coordinating meetings, managing calendars, and handling Board of Directors correspondence.
- Communications: You will be responsible for creating and coordinating internal and external communication materials, including intranet stories, newsletters, press releases, social media content, etc.
- Event planning: You will assist in the planning and execution of various internal events, such as meetings, open houses, and employee appreciation events.
- Community outreach: You will assist with communicating the organization’s participation in local community partnerships and coordinating Gemini scholarship outreach.
- Database management: You will maintain databases of contacts and other important information, ensuring that they are accurate and up to date.
- Project management: You will assist in managing various projects, ensuring that they are completed on time and within budget.
Skills and Abilities
- Integrity and Discretion: Ability to handle and maintain sensitive and confidential data.
- Strong organizational, executive communication, and interpersonal skills.
- Experience in administrative support and communications, as well as proficiency in relevant software programs such as Microsoft Office and project management tools. Canva and SharePoint experience preferred.
- Excellent writing skills, including experience with writing for email, newsletters, websites, news articles, etc.
- Strong storyteller and creative thinker with a track record of producing high-quality written content.
- Ability to work independently and manage multiple tasks simultaneously.
- Excellent attention to detail.
- Ability to work both collaboratively as a team across various functions and work independently in a fast-paced environment with a positive attitude.
Qualifications – Education & Experience
- Bachelor's degree in Journalism, Communications, English, Marketing, or related field.
- 2+ years of internal or corporate communications experience.
Physical Demands/Environmental Factors
- Position typically operates in a professional office environment.
- Up to 20% travel as needed to support events, meetings, projects, etc.
