Name of the service: Online Safety Programme

Address/ Location: Blended working arrangement to include home based and office-based working, out of Carlow Project and/or National Office, Dublin 8.

What does the Online Safety Programme do?


We deliver workshops in schools to primary school aged children and parents about online safety. Our aim is that through interactive, child-led workshops, we can empower children to be safe and resilient online. In 2019, we partnered with Google.org to expand our Online Safety Programme. We host an conference/webinar about online safety and digital wellbeing called Plugged in Switched off and this will take place in May 2023. Our target audience for this webinar was parents and professionals. The programme is funded until June 2024.

What will the Administration Worker do?

The Administration Worker would specifically be involved in assisting the Training Executive to ensure that training events go smoothly by:

  • promoting and organising the training for schools
  • preparing materials and liaise with schools and trainers
  • evaluation of feedback and research

Job Purpose

To provide an efficient and flexible administrative support service to the Online Safety Project in an integrated way with the wider organisation.

Core Job Requirements

  • To respond in an efficient friendly and appropriate manner to all communications with the office i.e. post, e-mail, telephone and fax and in person.
  • To provide administrative support to the service utilising relevant IT packages, ensuring documents are presented and formatted to a high standard.
  • To maintain an up to date and effective filing system.
  • To maintain an efficient, accurate and up to date financial, Human Resource and stock/ inventory recording system as appropriate.
  • To gather information statistics and prepare reports as required, including administration of databases as appropriate to the role.
  • To supervise students and volunteers where necessary and to ensure they are aware of all Barnardos policies and compile placement reports as appropriate.
  • To be vigilant to any concerns regarding the protection and welfare of children and to bring them to the attention of your designated person in a timely manner, in keeping with the Barnardos Child Protection policy.

Requirements specific to the post

Internet Safety and Cyberbullying Programme

  • Follow up on school enquiries from Key school personnel, providing information on the range of training sessions and packages available.
  • Processing Training bookings an organising trainer and schedules
  • Manage multiple bookings to ensure best use of resources (i.e. booking trainings outside of Dublin in a manner to reduce cost to the organisation).
  • Log all queries and bookings to CRM (data base) ensuring trainer and school receive confirmation of events in a timely manner
  • Prepare and distribute resources for training sessions
  • Review training evaluations, gather testimonial and file all event information.

Financial Administration for Internet Safety and Cyberbully Programme

  • Record online payments and processing payments

Training Administration

  • Processing training confirmation emails to requestor and trainers
  • Preparation of achievement certificates for schools
  • Record keeping of training events and logging events on CRM
  • Prepare resources as required for online and offline promotion of the internet an Safety and Cyberbullying Programme
  • Supporting Research by correlating information and producing summary report annually (out of term time)
  • Supporting with Events

  • To participate in the efficient flow of information within the organisation by sharing and seeking information as appropriate.
  • To undertake other duties as may be requested by the line manager from time to time.
  • To undertake your work in a manner that is friendly, flexible and informal.

Experience

  • Minimum of two year’s directly relevant administration experience essential.
  • Experience of working in National School or Familiar with the workings of National School System an advantage

Qualifications

Junior Cert or equivalent minimum level of education.

A working ability in IT Systems, word processing and finance skills are essential.

The postholder is initially assigned to work in Barnardos National Office/or Carlow, however large elements of this role can be carried out remotely. This post may be required in the future to work in other locations in the Dublin area in line with organisational needs.
