AFIN Family Wealth Management is a firm specializing in holistic financial planning for individuals and businesses. Our goal is to make financial planning understandable and accessible by offering personalized, hands-on services. We educate our clients about financial concepts and products and take the mystery out of investing, insurance, estate conservation, and preserving wealth.

Job Summary
AFIN Family Wealth Management is looking for an experienced Administrative Assistant to oversee the business workflow systems at our firm. This position performs moderately complex client services tasks and is the first point of contact for all clients visiting our firm. The Administrative Assistant will coordinate and oversee administrative duties in our office and ensure that the office operates efficiently and smoothly.

Minimum Qualifications

  • Bachelor's degree preferred
  • Preferred 3-4 years of experience as an Administrative Assistant or similar role
  • Life and Health Insurance License preferred, but not required

Required Knowledge, Skills, & Abilities

  • Results-driven, highly motivated, self-starter who possesses integrity, a strong work ethic, and the desire to help others plan for and protect their financial futures
  • Proficient in Adobe Acrobat and MS Office Suite, Outlook
  • Excellent customer service, communications and organizational skills and the ability to work on multiple projects simultaneous
  • Work independently as well as collaboratively within a team environment
  • Positive attitude, high energy and professional demeanor
  • Excellent written and oral communication skills
  • Ability to exercise good judgment by recognizing urgency and setting priorities
  • Must pass criminal and credit background checks
  • Ability to quickly understand new concepts and learn new technology and systems
  • Knowledge on use of CRM Systems
  • Exceptional level of accuracy and attention to detail

Job Duties and Responsibilities

  • Oversee the day-to-day activities of the branch as the main point of contact by greeting guests, answering general phone calls, and supporting advisors.
  • Act as a liaison between the advisor teams and various departments.
  • Perform administrative tasks as needed such as: scheduling appointments, processing paperwork, mailing, shipping, and updating databases.
  • Maintaining office supplies and equipment as needed.
  • Taking lead regarding routine and following up with clients
  • Coordinating follow-ups on workflows for new clients
  • Comply with all industry rules and regulation
  • Supporting clients by providing services in account management and technical support.
  • Maintaining client databases and compiling information to prepare reports using appropriate software.
  • Performing special projects as requested.
