Job Title: Administrative Assistant

Reports to: Controller

Job Objective: To assist the Controller with the daily functions, such as AP / AR and research. Attention to detail and organizational skills are essential. Confidentially is vital.

Responsibilities and Accountabilities:

- Accounts payable

- Accounts Receivable – Enter customer payments daily.

- Help management pursue late payments and document interactions on all accounts past due 15+ days with an increased level of persistence as time goes on. Accounts over 30 days late; interact with management to initiate credit hold; accounts over 60 days late; interact with management to initiate collection proceedings. Notify appropriate sales territory manager (rep) on account delinquencies.

- Data entry, Acumatica, Magento, and others as needed.

- Maintain Customer Records

- Present customer concerns to management.

- Log significant interactions with customers.

- Post customer payments by recording cash, checks, and credit card transactions.

- Outbound calls to customers as needed.

- Other Duties as assigned.

Additional Responsibilities (as necessary):

- Process customer returns

- Apply credits (must have management approval for credits)

- Work with vendors on pricing discrepancies

- Other duties as assigned.

Job Specifications:

- Effectively operate office equipment such as personal computer, printer, copier, and fax machine.

- Working knowledge of Microsoft Office, internet, and email systems

- Excellent verbal and written communication skills

- Ability to work and think independently.

- Customer focused.

- Ability to multi-task and work in a team oriented fast paced work environment

- Organizational skills

Experience/Educational Requirements:

- High school education or equivalent

- Experience with Accounting and CRM systems a plus

- Handle multiple duties with often changing priorities.

- Verbally communicate with others in person and/or on the phone.

Job Types: Full-time, Part-time

Pay: $15.00 - $17.00 per hour
