Job Title: Administrative Assistant


SUMMARY:
As an Administrative Assistant, you are responsible for managing and maintaining the daily functions of the office for the maintenance department. Ideal candidates have flexible schedules with the ability to multi-task and work independently, as needed.

MEMBERSHIP - Administration

Daily, weekly and monthly audits the membership house account charges to ensure that they are accurately posted

Monthly print and mails out house account invoices to members who have requested paper copies of their statements

Accurately enters in pertinent data into membership database (Light Speed Golf), maintains and assigns membership account numbers based on the type of membership, then adds members account numbers into the POS system for restaurant charges (Light Speed Restaurant)

Sends out Welcome letters to new members which include their membership account number, charging privileges, financial responsibility details for payment credit card or ACH (2-step process).

Sends out Rules & Regulations, Membership package to all new members

Creates and administers the key fobs for Platinum, Family Social, and Summer (with an expiration date) for the resort pool, tennis, and fitness facilities. Create replacements for lost and stolen key fobs

Acts as the accounting liaisons while providing accounting details and clarification on invoices to members who walk-in, call or email questions.

Maintains current files and updates files as warranted/needed

Assist with document editing, preparation, and supply distribution

Handles member issues/requests in person at the front desk

Run monthly aging report to clean up outstanding balances.


OFFICE - Administration

Handle all incoming and outgoing mail.

Distribute mail to the appropriate departments.

Creates and logs all incoming checks, make copies of all the check for our records and gives membership checks (payments) to Sales & Marketing Director to enter in the system. Distributes invoices to appropriate managers who will code, initial and sign. Send bi-weekly batch of invoices to Controller for payment.

Answer all incoming calls and resolve inquiries for membership information, member complaints, restaurant reservations, billing, and vacation rentals.

Maintain inventory and order office supplies.

Support all departments in various project such as printing menus, preparing for events, ordering miscellaneous items from Staples, Amazon etc.

Keeps General Manager updated on office needs and general overall resort complaints/issues Events- Administration


EVENTS

  • Assists Banquet Captain as needed with set up and tear down of events tables, chairs, linens when needed
  • Provides hospitality needs for brides when using the Bridal suite. Maintains a presence in office and oversees and assists in bridal party needs. (Saturdays mostly)
  • Provide assistance to Banquet Captain for serving buffets if needed
