DUTIES AND RESPONSIBILITIES:

  • Exercises considerable judgement and discretion in handling requests for appointments and telephone calls
  • Prepares daily mail for CEO - composes, types, and distributes professional correspondence and memoranda, using individual initiative and other communications as needed
  • Proactively establishes and maintains highly organized systems
  • Coordinates CEO’s and VP of Operations calendars and schedules appointments, ensuring all parties are informed of and kept abreast of schedule awareness
  • Coordinate’s meetings including but not limited to preparing and distributing agendas and other meeting materials, reserving, and preparing facilities, and recording and transcribing meeting minutes
  • Attends meetings and other functions as needed
  • Prepares work agreements and proposals and maintains appropriate records and files
  • Performs general clerical duties including but not limited to filing, photocopying, faxing, and mailing
  • Assists with Pilot work schedules and training schedules
  • Assists Chief Pilot with administrative duties including PRIA and background requests
  • Assists HR Director with new employee documents, benefit enrollment and orientation
  • Administer DOT/FAA Drug Program
  • Assist with editing manuals, handbooks, and policies
  • Assist Leadership Team with special projects
  • Performs other related duties as assigned

Requirements:

QUALIFICATIONS:

  • Three to five years related experience as an Office Manager or Executive Assistant
  • Excellent verbal and written communication skills
  • Expert with Microsoft Office applications: Outlook, Word, Excel, PowerPoint, Teams, etc.
  • Versatility, flexibility, and a willingness to work in an environment with constantly changing priorities with enthusiasm
  • Commitment to excellence and high standards with exceptional professionalism
  • Ability to work on complex projects with general direction and minimal guidance
  • Ability to deal effectively with diverse individuals at all organizational levels
  • Good judgement with the ability to make timely and sound decisions
  • Strong organizational, problem-solving, and analytical skills; able to manage priorities and workflow
  • Ability to work independently and as a member of various teams
  • Aviation experience preferred
