Savvee Consulting is seeking to hire an Administrative Assistant to support our federal client in a hybrid work model of onsite/telework. The client is located in Bethesda, MD. Candidates must be able to support the contract by demonstrating strong communication and organizational skills.
This position is contingent upon contract award.
Essential Functions
- Acting as Tier 1 Help desk for administrative functions by handling a wide variety of telephone calls and professional inquiries, including dealing by telephone and email with high-level managers and technical experts. Referring callers to appropriate staff member or providing requested materials whenever possible.
- Serving as a primary contact point for an office and exhibiting a professional and courteous demeanor. May serve as an administrative assistant for an office by keeping calendars, scheduling meetings, preparing for meetings, maintaining office supplies, and initiating procurement requests; and making travel arrangements as necessary.
- Initiating and processing purchase requests, including working with technical staff to gather requirements, contacting vendors for quotes, drafting supporting documentation, and entering orders into tracking system.
- Arranging training requests using the online training system.
- Preparing government travel requests and travel reimbursements.
- Operating as Primary Branch Timekeeper using the Integrating Time and Attendance System.
- Submitting Facility Work Requests for building repair/maintenance/access, telephone service requests, and key requests, etc.
- Assisting technical staff to collect and analyze data for use in performance metrics and agency data call submissions.
- Supporting procurement and deployment administrative efforts of IT Hardware and Software
- Tracking, issuing, and retrieving property and monitoring the inventory.
- On and off-boarding employees and contractors; maintaining personnel records; and providing automation to current processes.
- Inputting Mobile Orders.
- Supporting administrative workflows, potentially on ServiceNow and MS365 platforms for OCIO administrative work and automation.
- Understanding the organizational policies and procedures for accuracy of solutions and deliverables to the client.
- Demonstrating a commitment to quality and customer support.
Requirements
Education & Training
- Bachelor’s degree
Minimum Experience & Skills
- Three years or more of administrative assistant experience
- Proficient with Microsoft Office’s suite of products including SharePoint and Teams
- Excellent written and verbal communication skills
Desired Education/Certifications & Skills
- Onboarding of new hires experience
- Property management experience
- Help Desk, including ServiceNow ticketing system, experience
