We're looking for an Administrative Assistant for our leadership team. The ideal candidate will be experienced in handling a wide range of administrative and executive support-related tasks and will be able to work independently. This person must be very well organized, flexible and enjoy the administrative challenges of supporting a small, rapidly growing business. The ability to interact with staff (at all levels) in a fast-paced environment, remaining flexible, proactive, resourceful, and efficient, with a high level of professionalism and confidentiality is crucial to this role. Expert-level written and verbal communication skills, attention to detail, and ingenuity are equally important.
How you'll make an impact:

  • Responsible for supplies ordering and organization for the office
  • Manage marketing materials and coordinate marketing events
  • Coordinate and schedule interviews for future candidates for all positions
  • Onboarding documents and profiles for new employees (license/credential verifications, scheduled drug tests, etc)
  • Coordinate and schedule office maintenance vendors (paper shredding, HVAC, cleaning services, etc)
  • Company social media management
  • Troubleshoot payroll or benefits issues with administrator
  • Responsible for scheduling meetings internally and externally, as well as managing the leadership calendar
  • Arrange complex domestic and international travel schedules and reservations
  • Handle incoming/outgoing mail
  • Assist leadership team with the preparation of presentation materials.
  • Run errands as needed (bank matters, drop-offs with Fedex/USPS)
  • Assist with completion of necessary reports as requested.
  • Outstanding communication skills and the professional confidence necessary to work effectively with senior management.
  • Document and contract preparation for review
  • Follow-up on submitted contracts and licensing statuses
  • Assist in project management.
  • Prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner.
  • Work closely with the Partners to coordinate and launch hard copy or email campaigns to consultants, clients, and potential clients.

Qualifications

  • Excellent calendar management and organization skills
  • Excellent communication skills across all levels and great personality
  • Strong knowledge of MS Office, including Word, Excel, PowerPoint and Outlook.
  • Support experience in a professional services, sales or marketing environment.
  • Creative and solution-oriented

Job Type: Full-time

Pay: From $25.00 per hour
