Job Description:
Provide support to the Dean of the College of Education and Human Performance and other individuals by handling correspondence, managing calendars and appointments, arranging conferences and conference calls, making travel arrangements, and providing other administrative tasks.
Duties and Responsibilities:
- Ensures that the daily operations of the office run smoothly. Gather analyze and maintain data for various purposes. Maintains web pages. Manages all travel arrangements. Notifies and arranges meetings. Records and distributes minutes of the office. Type letters, reports, charts, graphs, form and or memoranda from rough draft. Ensures data entry of all appropriate information into systems(s). Orders and maintains inventory of supplies. Duplicates, collates, and binds letters, reports, memoranda, and other documents using photocopy machine and stapler. Operates fax machine for transmitting documents to various locations. Prepares bulk mailings.
- Manage the processes and work flow of the department. Manage, instructs and coordinates all activities of support. Provides effective communication and coordination with various groups throughout the work unit. Helps manage and coordinates special projects.
- Interacts with constituents via phone, mail, e-mail and face to face. Greets visitors. Answers and screens telephone calls. Assesses the nature of business. Attends on and off campus meetings.
- Additional duties as assigned.
Education and Experience:
- Associate’s degree, or technical school degree or vocational school education of up to 18 months beyond high school is required.
- At least two years of previous relevant secretarial experience is required.
