Hourly Rate: $26.19, Annual Rate: $54,468.08 Effective as of: 08-16-2022
**Annual salary noted above is based on an 8 hour day and full days worked calendar. Any position that is less than a full FTE/8 hours per day or late start will be prorated accordingly.
Certain Education Support Professional (ESP) jobs may include the value of holiday pay into the hourly rate. Review the Holiday in Rate column of the Education Support Professional Job Title, Wage Plan, Grade document.
PRE-EMPLOYMENT REQUIREMENT
The successful new hire or rehired candidate will be responsible to complete and incur the fingerprinting and processing fee of $54.50 through an appropriate fingerprinting vendor and the Colorado Bureau of Investigation, within 48 hours of offer acceptance.
RESPONSIBILITIES
SUMMARY: Under minimal supervision, collaborate with the Executive Director to proactively coordinate, organize, and manage his/her daily activities and/or the daily activities of the department. Plan and prepare daily, and special reports, along with advanced level clerical support. Write and review correspondence for the Early Learning Department.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following.
Serve as the Early Learning Central Office manager. Maintain files and archive records in accordance with all state regulations. Input requests for vouchers to pay bills, input requisitions and purchase orders using PeopleSoft financials. Reconcile substitute teacher/instruction partner pay approvals. Review monthly documentation for all P-card activity of up to 5 cardholders and over $100,000 in annual transactions for the Early Learning department. Answer main internal department phone line.
Compose, format and edit various Early Learning Program communications including newsletters to program staff and school sites, announcements to enrolled families and other departments. Ensure professional and grammatically correct documents for the distribution. Coordinate with translation department to provide in multiple languages. Oversee the preparation, coordination and distribution of department information or manuals. Verify information is published in appropriate channels, such as district employee newsletters, employee intranet, public websites or other relevant channels.
Provide clerical support for large projects and initiatives within the Early Learning department. Communicate deadlines and updates regarding large project status.
Assist in scheduling of all Early Learning meetings. Prepare agendas, take minutes, track actions for follow up and provide administrative and technical support during meetings.
Order instructional supplies needed in preschool classrooms. Send materials to schools.
Maintain list of technology assets at preschool classrooms for accounting on a yearly basis.
Coordinate and manage departmental registration and travel for conferences and events, including transportation and lodging logistics.
Coordinate quarterly departmental events and trainings; including the securing of venues, printing and transporting of all materials; communicate with all event participants and presenters; and coordinate all technical and A/V needs.
Perform other duties as assigned.

EDUCATION AND TRAINING: High school diploma/GED required. Additional college coursework preferred.
EXPERIENCE: 3 years' of secretarial experience required. Experience in a school setting preferred.
SKILLS, KNOWLEDGE & EQUIPMENT: Requires excellent oral and written communication as well as organizational, and office management skills. Ability to problem solve, use good judgment and diplomacy and to work effectively under pressure with a high level of confidentiality and flexibility. In-depth knowledge of District policies, procedures and organizational structures. Skilled in Google G-Suite, Outlook, Presence (website tool) and other similar systems. Ability to handle multiple tasks and deadlines. Bilingual (Spanish) preferred.
CERTIFICATES, LICENSES & REGISTRATIONS: None required.
SUPERVISION-TECHNICAL RESPONSIBILITY: This position has no supervisory responsibilities. Position will serve as a technical resource for staff.
CONTACTS: Position will have daily contact with persons in same work unit/building and other departments, as well as with principals, teachers and schools. Weekly contact with the general public to furnish or obtain information, resolve problems, to maintain relationships.
SAFETY TO SELF AND OTHERS: Medium exposure to self to repetitive motion injuries due to keyboarding. Low exposure to self to cuts and bruises due to typical office accidents.

JUDGMENT AND DECISION MAKING: Self-directed in collaboration with the program administrator. Requires a high level of independent judgment, quick decision-making and analytical skills to determine manner and operational steps necessary to properly handle inquiries and perform daily tasks within professional standards. Decision-making is guided by District department/division and/or school policies and procedures, as well as state and federal laws. Assures confidential information regarding students and staff is not disseminated inappropriately. Decision-making requires daily collaboration with staff members, state/private agencies and parents. Errors in decision-making could lead to loss of confidence in or impact the credibility of the department and/or the District. Supervisor is involved in major decisions.
DIVERSITY OF DUTIES: Position will be in contact with District departments and outside agencies. Position requires tact and diplomacy to maintain relationships, resolve problems, and negotiate matters often involving high confidentiality in a timely manner. Technical skills will require cross training.
