Position Overview
This position will serve as the staff assistant to the Division of Education. Plans, directs, coordinates and distributes educational programs and materials for events including ENTICE, Earth Day in the Parks, educator conferences, Illinois Biodiversity Field Trip Grants, Schoolyard Habitat Action grants and many other IDNR events.
Job Responsibilities
1. Under general direction, serves as staff assistant in the coordination, planning and directing of all educational programs, materials, and marketing for the Resource Education unit:
- Coordinates all educational programs including but not limited to ENTICE, Earth Day in the Parks, educator conferences, Illinois Biodiversity Field Trip Grants, Schoolyard Habitat Action Grants, the state fair, and other events.
- Prepares information and items needed for the programs.
- Conducts research on topics related to educational programs, materials, and marketing.
2. Oversees and maintains various databases and posts information to multiple systems:
- Maintains the ENTICE database and school's database records.
- Assists with the maintenance of the school's section of the online publication order form.
- Posts materials to the Illinois State Library's metadata system.
- Posts photographic information and images, and image release forms to the SharePoint photographic library.
- Tracks use of and maintains records for purchased image and video rights.
3. Coordinates and distributes materials at various events:
- Gathers, organizes, and distributes materials and resources for use at educator conferences, ENTICE educator workshops, Earth Day in the Parks events, the unit's tent at the state fair, presentations, and other events.
4. Coordinates material loans and inventory or resources trunks and field packs from the unit; maintains the inventory of materials.
5. Maintains all filing and inventory duties:
- Processes invoices and travel vouchers.
- Answers phone calls from the public and responds to requests.
- Orders materials needed for unit events.
- Tracks monthly budget
6. Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.
Minimum Requirements
- Require knowledge, skill, and mental development equivalent to completion of four years of college, preferably with courses in public or business administration.
- Requires one year of professional experience in a public or private organization, or completion of an agency approved professional management training program.
Preferred Qualifications
- One (1) year of experience coordinating a program.
- One (1) year of experience maintaining and entering information into databases.
