The Work You Will Do:

The Administrative Assistant I serve as personal assistant to the Division Director and Deputy Director in the overall administration of the division, relieving the Director of administrative details and routine management functions not requiring the Director's personal attention.

Your Specific Responsibilities:

In carrying out the duties of this position, the incumbent is expected at all times to be aware of and abide by the Department’s Standards of Conduct, as well as any and all departmental and/or work unit rules, directives, policies, procedures, and/or general orders applicable to performing the duties of this position. If position is supervisory, incumbent is also expected to actively support and work toward fulfilling the Agency’s Affirmative Action objectives.

Serves as personal assistant to the Division Director and Deputy Director in the overall administration of the division, relieving the Director of administrative details and routine management functions not requiring the Director's personal attention.

Serves as liaison with other Division offices and program areas on administrative matters. Maintains Director's calendar. Coordinate meetings and travel prepares reimbursement vouchers and assists other staff as needed.

Tracks and performs follow-up on assignments to Division staff. Processes and tracks the daily paperwork flowing into and out of the Director's office for the Director's attention or signature.

Interprets established administrative policies and procedures. Serves as liaison with other Division offices and program areas on administrative matters. Represents the Division office with public officials, other government agencies and the general public. Handles telephone inquiries and ensures other inquiries are directed to appropriate staff.

Monitors and tracks expenditures. Directs purchase of supplies and materials, prepares requisitions and processes invoices for payment. Approves purchasing card charges and reconciles monthly reports.

Assists in the preparation of reports and technical and administrative correspondence prepared by the Director and staff. Processes a variety of routine correspondence. Assists in the preparation of reports and documents to be published. Assists office staff with administrative/clerical functions.

Assists office staff with various administrative tasks, including maintaining supplies and managing appointments and documents.

Assists other program areas with a variety of special projects as needed. These tasks are usually administrative in nature and include compiling materials needed for training or creating documents as needed.


Required Knowledge, Skills, and Abilities:

  • Knowledge of administrative principles and practices.
  • Knowledge of general office procedures and practices.
  • Knowledge of correct grammar usage.
  • Ability to use and skill in using word processing and other computer equipment.
  • Ability to perform mathematical calculating accurately.
  • Ability to prepare administrative reports and correspondence.
  • Ability to plan, organize and coordinate work activities.
  • Ability to develop and implement office procedures.
  • Ability to follow written/verbal instructions.
  • Ability to review data for accuracy and completeness.
  • Ability to communicate effectively.
  • Ability to establish and maintain effective working relationships with others.
  • Ability to collect, evaluate, and analyze data relating to administrative functions such as accounting.
  • Ability to maintain a valid driver’s license.

Minimum Qualifications:

  • A bachelor’s degree or higher from an accredited college or university
  • A valid driver license.
