YOUR SPECIFIC RESPONSIBILITIES:

This independent position works in assisting management in providing analysis and research on a variety of administrative matters. Work involves assignments which are broad as to objective and content and require independently making decisions and obtaining solutions by operating within well-established policies, laws, rules, and guidelines.



Responsible for purchasing supplies using a P-card and My Florida Market Place. Assure the goods are purchased and distributed according to DOH guidelines. Performs approvals and reconciliation through FLAIR, WORKS, STMS, and MFMP daily (as needed). Completes and tracks all personnel action requests which include CARs and updating PD’s, preparing request for advertisement, hiring and all
related human resource actions.



Provides support for the Data Team with HMS and/or FLShots work efforts; including but not limited to helpdesk calls, record unlocks, data clean up, and data entry for all supported/contracted counties.



Communicate and coordinate programmatic activities for leadership staff of the Health Informatics and Records Management department. Completes memos, reports, letters, forms, travel, evaluations, and documentation for the department.
Responsible for tracking assignments for the data team, Vitals, and Health Information Management teams as assigned/needed. Schedules meetings and travel, assures all forms are submitted for approval in the appropriate timeframes. Obtains and organizes materials and equipment for meetings. Responsible to creating and maintaining meeting agenda, minutes, and related documents. Ensures that weekly unit
updates are compiled and processed as needed.



Assists in the processing of VitalChek and mail-in applications for birth and/or death certificates as needed. Provides back-up, as needed, for Health Information Management department – processing requests for health records. Provides back-up, as needed, for the data team in processing duplicates, purges, and similar tasks.

Perform other duties as required.


REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:

  • Proficient in Excel
  • If not proficient in DOH Budgetary applications - learn how to use related budgetary reporting tools, applications
  • Proficient in Word, Excel, and PowerPoint for presentations
  • Proficient in SharePoint
  • Proficient in Excel

  • Ability to communicate via a variety of techniques to provide reliable data/information as required

  • Perform other duties as required for the HIRM Department.

Minimum Qualifications:

Proficient in MS Excel, Word, and PowerPoint (minimum of 2 years). Minimum of 2 years of experience in administrative support functions that include, but not limited to, purchasing, budgeting, and personnel work.

Florida Department of Health is required to work before, during, and/or beyond normal work hours or days in the event of an emergency. Emergency duty required of the incumbent includes working in special needs shelter or performing other emergency duties including but not limited to, response to or threats involving any disaster or threat of disaster man-made or natural.
