SUMMARY

The Administrative Assistant III (Admin III) will independently provide support services to satisfy the overall operational objectives of the Fogarty International Center (FIC) in Bethesda, Maryland.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Essential duties and responsibilities include the following. Other duties may be assigned.

Responsible for the integration of CNI Core Competencies into daily functions, including: commitment to integrity, knowledge / quality of work, supporting financial goals of the company, initiative / motivation, cooperation / relationships, problem analysis / discretion, accomplishing goals through organization, positive oral / written communication skills, leadership abilities, commitment to Affirmative Action, reliability / dependability, flexibility and ownership / accountability of actions taken.

Places order for supplies and assist with any travel arrangements.

Contacts grantees to request late applications.

Reviews and resolves all outstanding Closeout Issues with FIC grants.

Arranges meetings for the Grants Staff

Assists with Data Calls from the OD.

Checks to see if grants need to have their SAM registration updated.

Triage (request information) for competing grants.

Provides documentation that supplies, and travel arrangements were done.

Documents how and when grantees were requested for late applications.

Provides documentation that the contractor arranged Meetings for the Grants Staff.

Provides documentation that the contractor assisted with Data Calls from the OD.

Provides documentation that the contractor triaged (request information) for competing grants

Computer generated work including preparing a variety of office documents such as correspondence, travel authorizations/vouchers, professional service orders, documents, reports, memoranda, procurement orders and other program related forms; maintain calendars; perform data entry; develop and maintain various spreadsheets; maintain office records; help track expenses

This position may telework as permitted by the office and due to COVID-19. A telework report will be required to be submitted to the COR summarizing activity performed monthly.

Addresses customer concerns promptly and professionally.

Maintains a solid customer relationship and assures customer satisfaction with the successful execution of the project(s).

Interfaces with internal project teams, management, customers and suppliers.

Maintains timely communications and develops collaborative rapports with solutions-oriented approaches.

Implements industry best practices, project management tools and methodologies.

When appropriate, ensures staffing levels / skills are appropriate for the project scope and deliverables. Actively participates in the hiring of new and replacement project staff. Provides performance assessments and feedback to employees.

Responsible for aiding in own self-development by being available and receptive to all training made available by the company.

Plans daily activities within the guidelines of company policy, job description and supervisor’s instruction in such a way as to maximize personal output.

Responsible for keeping own immediate work area in a neat and orderly condition to ensure safety of self and coworkers. Will report any unsafe conditions and/or practices to the appropriate supervisor and human resources. Will immediately correct any unsafe conditions to the best of own ability.

Promotes and encourages a culture of compliance with all applicable rules (federal, state, local, Federal Acquisition Regulations, Code of Federal Regulations, Prime Contract requirements, etc.) for themselves and the company as a whole. Fosters an environment in which they will report any violations or reasonably suspected violation of CNI policy, FAR, and/or CFR and are comfortable discussing the myriad compliance, conflict, FAR, CFR, etc. issues that arise during the performance of a government contract.

EDUCATION / EXPERIENCE

Bachelor’s degree in a related discipline or four (4) years of specialized experience with a high school diploma equivalent to a Bachelor’s degree.

KNOWLEDGE/SKILLS/ABILITIES

Operational knowledge and skill in administrative / clerical practices and systems, such as word processing, presentation development, records management, schedule / time management, and other office procedures and terminology.

Advanced proficiency with Microsoft Office Suite (Outlook, Word, Excel, etc.) and databases.

Composes, proofreads, and edits documents. Ensures procedural and grammatical accuracy, as well as conformance with general policy and factual correctness. Ensures coordination and signature procedures are followed.

Ability to work and communicate effectively with all levels of management and coworkers, as well as a wide range of people with diverse backgrounds.

Excellent analytical, organizational and time management skills.

Ability to manage multiple projects and priorities.

Excellent customer service skills with ability to apply good listening skills and to handle unusual or complex situations with a calm and focused approach.

Ability to identify problems and to use sound judgment.

Ability to work independently on assigned tasks and accept direction on given assignments.

Ability to respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community. Ability to write speeches and articles for publication that conform to prescribed style and format. Ability to effectively present information to top management, public groups and/or boards of directors.

MATHEMATICAL SKILLS

Ability to work with mathematical concepts such as probability and statistical inference, and fundamentals of plane and solid geometry and trigonometry. Ability to apply concepts such as fractions, percentages, ratios and proportions to practical situations.

REASONING ABILITY

Ability to define problems, collect data, establish facts and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
