Administrative Assistant is responsible for the daily operations and is part of a team that strives to care for and support their residents and their families the same way they would care for their own loved ones. The Administrative Assistant performs all receptionist and related clerical duties, ensuring the needs of the department are met within a timely manner and operate phone systems, etc.
Position Responsibilities Summary:
- Provide a broad variety of professional and courteous support to the community staff, residents and clients
- Responsibilities range from participation in all business related functions, greeting all community visitors and serves as an assistant to the Executive Director
- This position will maintain and organize community file systems; answer and respond to routine calls.
- Assists with community newsletters and activity calendars
- Performs special projects as required as well as other duties as assigned to meet business needs.
Key Leadership, Management, and Accountabilities (LMA):
Education/Certification Requirements: › High School diploma or GED preferred.
Skills/Qualifications Requirements:
Prior Receptionist experience, Strong customer service and verbal/written communication skills (English), Ability to multi-task, prioritize and complete work on time, PC literacy, Possess a positive attitude, Ability to work successfully as an independent and team player, Flexible to work on-call as needed, Long Term Care, Assisted Living and/or Memory Care experience preferred.
Office Environment: high-paced community environment; continuous phone use/ringing; talking; various noise levels; interactions with employees, residents, and resident families, sitting and standing for long periods of time; bending and stooping required; lifting up to 10 lbs. regularly and up to 50+ lbs. may be required; using a computer for extended periods: typing, staring at a bright monitor or TV screen; using fingers, wrists, and arms; stress on back may occur; possible exposure to prescription drugs, bodily fluids, small appliances for cooking, cooling, and heating foods or securely storing medications.
