Job description
We are seeking a professional and highly motivated individual to join our Fabrication company as a Receptionist/Administrative Assistant. The successful candidate will work directly with the Operations Manager to respond to customer inquiries and resolve any logistical issues as they arise. This position is ideal for someone who is detail oriented, well organized and can multitask effectively.
MUST LOVE DOGS! We have a full time office dog on site.
Key Responsibilities:
- Greet and direct incoming calls, visitors, and mail.
- Respond to inquiries.
- General clerical duties such as filing, faxing, copying, and emailing.
- Assist other workers with writing reports and proposals.
- Follow workplace safety procedures.
I. RECEPTION
Answer incoming calls and greet visitors in a courteous, professional, manner.
Take detailed messages, transfer calls.
Take information needed to process walk in quote requests.
II. DATA ENTRY
Enter timesheets and other logs, as needed.
Enter Accounts Payable and Accounts Receivables.
Generate Project related forms and sheets.
III. PURCHASING DUTIES
Research new vendors.
Create purchase orders and maintain logs.
IV. MISC SUPPORT
Other duties and functions, i.e., filing, copying, sample pulling, etc.
Assist with project files, employee files, etc.
Qualifications:
· Excellent written and oral skills.
· Ability to follow instructions, verbally or written.
· Ability to work effectively with timelines by multi-tasking and prioritizing.
· Proficiency with Office 365 software.
· Ability to use office equipment.
· Knowledge of metals and fabrication media is a plus.
· Knowledge of QuickBooks Premier Edition is a plus.
· Ability to pass national background screen to be eligible for employment
· Ability to pass Drug screening under Federal Law
· Valid Driver’s License with clean driving record and insurable for company vehicle use
