Reports To: Portfolio Manager
Primary Function: Greet visitors and clients and handle all incoming telephone calls. Assist Leasing Agents and Portfolio Managers in their daily activities.
Education: Minimum of one to two years' work related experience.
Qualifications: Must have general knowledge of Windows, knowledge of Microsoft Word, intermediate knowledge of Excel, Outlook and ability to type 50+ words per minute. Bi-lingual preferred.
Responsibilities:
1. Produce correspondence, reports, proposals, mailers, forms, lease and listing documents, databases, and miscellaneous projects for leasing agents and portfolio manager.
- Typing
- Answer phone
- Process Invoices
- Process rent payments
- Upload Craigslist Ads
2. Responsible for handling incoming calls/switchboard.
3. Order office supplies.
4. Produces mail-outs, new packages, new flyers, and presentations. Replenish existing packages and flyers.
5. Assist with entering/maintaining listings data for properties on Craigslist, Apartment Guide, Zillow etc.
6. Assist with downloading digital camera. Assist with scanning documents as needed
7. Cross train to cover for Office Administrator in her absence.
8. Assists with the replacement of printer/copier toner and drums. Handles various IT issues to include software support.
9. Research Duties- Demographics, looking up owner information, city, county and business statistics, internet searches, and county/city offices (by phone).
10. Assists with keeping the office orderly.
11. Distributes incoming mail, and handles outgoing mail and overnight packages.
12. All other tasks and duties as assigned, with dates to be agreed upon.
