Job Description
Performs multi-dimensional administrative tasks that require creativity and independent, discretionary judgment to meet the needs of the Thoracic Surgery Division. May act on behalf of leader on routine matters within established guidelines. Conducts and acts with a high level of service, for this role is the face of the Thoracic Department to internal and external customers. Composes correspondence, creates reports, and helps in preparing analyses based on the data. Participates in activities dealing with sensitive and confidential issues and information. Coordinates and enters requisitions/purchase orders into PeopleSoft or related system. Monitors inventory and orders a variety of different office and technical supplies. Schedules appointments and coordinates meetings for providers and leadership staff. Supports Sharepoint, Onboarding and Offboarding processes. Reports to the Practice Administrator.

  • Maintain and adjust provider Epic schedules and templates independently or in conjunction with the access center
  • Communicate with staff and act as a liaison regarding new policies and procedures, changes in billing and insurance policies, and any other issues related to the operation of the practice via email or at huddle
  • Process time worked/attendance into Kronos for office staff
  • Schedule MD meetings
  • Perform administrative duties from provider onboarding and offboarding process
  • Transcribe actionable meeting agendas and notes
  • Create excel and PowerPoint presentations for leadership
  • Order and ensure supplies are in stock for designated locations
  • Organize staff schedules in shared calendar
  • Thoracic call calendar
  • Book conference room, training, and office spaces
  • Lean daily management
  • Process improvement
  • Standard work creation, edits, and dissemination
  • Enter and maintain POs
  • Ensure requisitions are managed
  • Staffing assignments (seating, emergency, computer, etc)
  • Process provider mileage
  • Perform other related duties as necessary or assigned by the Practice Administrator

Qualifications

  • High school diploma required
  • 3-5 years of work-related experience required
  • Highly disciplined self-starter with solid collaboration & communication (both written and verbal) skills required
  • Skills in Microsoft Office applications (specifically Power Point, Outlook, Word and Excel) required
  • Detail-oriented with excellent organizational skills required
  • Ability to multi-task, responds well to pressure and deadlines, and works well individually and in a team environment
  • Ability to improve quality and productivity by identifying improvement opportunities
  • Flexible and able to adjust to changing priorities or requirements in a fast-paced environment
