The Johns Hopkins University School of Nursing is seeking an Administrative Coordinator . Our team is highly motivated and passionate about developing mental health interventions and educational opportunities for Indigenous populations. The Administrative Coordinator will support administrative tasks across mental health research and training projects that cover topics including suicide and substance use prevention, trauma, early childhood interventions, education training programs and others as they arise.

The focus of this position will be providing high-level administrative coordination and support to the Principal Investigator (PI) of multiple studies. This position reports the team Research Program Manager and works closely with PI, on team administrative needs. Support will also be provided to PIs direct reports and research team members, as needed. This position is located at the School of Nursing in Baltimore and has the option for a hybrid work schedule.

Specific Duties & Responsibilities

Executive Support

Manage daily email communication for PI.
Maintain and manage calendar and daily schedule for PI, including resolving calendar conflicts, prioritizing requests and confirming meeting details.
Review PIs calendar a week in advance to ensure all necessary meeting materials are reviewed, prepared/shared, and organized in advance.
Manage travel booking and planning for PI and additional study team members and visiting faculty, as needed.
Support meeting logistics, including conference calls, room and equipment reservations, and catering.
Coordination of general office duties such as purchasing supplies, copying, sending packages, distributing information, and maintaining administrative filing system.
Manage procurement and reimbursement processes for PI and additional study team faculty and visiting faculty.

Research & Program Support

Take meeting minutes across multiple research projects and sites and follow-up with task reminders as needed.
Assist with drafting research materials as needed.
Assist with reporting requirements to various funding agencies and IRBs.
Assist with timeline and budget tracking for research and service projects and events.
Provide administrative support for preparation and writing of federally- and foundation-funded grants.
Assist with preparation of presentations for conferences and manuscripts for peer-reviewed journals, with a focus on citations and editing.

General Support

Assist with development of team-wide policies and standard operating procedures.
Assist with organization of team-wide files using OneDrive and SharePoint.
Support management of study team website, social media, and project email accounts.
Plan project team meetings and events, such as Native American Heritage Month events, in-person large team meetings, writing retreats. This includes developing plans/timelines, defining and communicating alternatives, and making recommendations based on understanding and knowledge of desired outcomes and expectations.
Support hiring and on-boarding processes of new team members, including staff, faculty, and students.

Special Knowledge, Skills, & Abilities

Proficiency in computer applications including Microsoft Office, Zoom, SharePoint.
Experience working with Native American communities.
Independent learner and worker, flexible, adaptable, and creative.
Ability to develop and maintain sound professional relationships among supervisors and peers.
Excellent communication and interpersonal skills (written, verbal, intercultural).
Professional judgement and ability to maintain confidentiality.
Organized, efficient, and detail oriented.
Occasional overnight travel may be required.

Minimum Qualifications

High School Diploma or graduation equivalent.
Three years related experience.
Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.

Preferred Qualifications

Bachelors degree or some college preferred.
Experience in high education administration.
Research-related administrative experience.

Starting Salary Range: $17.95-$25.30-$32.60 HRLY (Commensurate with experience)

JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience.
