Job Description

GEI Consultants, Inc. is seeking a New York City Administrative Professional to lead office administrative tasks and support our project teams on proposals and the delivery of high-quality work products to our clients. The New York City Administrative Professional will work closely with Senior Leaders, Project Managers, Technical Staff, and Marketing Staff to ensure project deliverables and marketing materials meet corporate standards and quality.

Essential Responsibilities & Duties

  • Support project management by assisting with document quality control; preparing reports and other documents including proofing, formatting, editing, distributing and filing.
  • Support marketing efforts including assisting with market research and analysis; preparing proposals; preparing and maintaining marketing support materials (resumes, project sheets, brochures, etc.); and assisting with conference and trade show preparation including booth registration, collateral, and display materials.
  • Assist in preparing draft project proposals and reports for FISP/LL11. Provide research assistance in proposals using NYC DOB websites such as DOB NOW, BIS, and NYC Oasis maps. Upload reports and documentation to the Department of Buildings DOB NOW system.
  • Answer main phone line and route calls; greet in-person visitors and vendors. Cover other office phone lines when needed.
  • Conduct office administration functions such as arranging couriers, shipping packages, scheduling meetings and coordinating workspace assignments; managing office supplies and equipment; assisting staff with travel arrangements and event registrations; maintaining office emergency action plans.
  • Process vendor qualification requests and maintain Certificates of Insurance.
  • Assist in maintaining active project excel spreadsheets.

Minimum Qualifications

  • Strong attention to detail and interpersonal skills.
  • Excellent editing skills, as well as outstanding verbal and written communication skills.
  • Advanced knowledge and application of Microsoft Word, Excel, PowerPoint, and Adobe/Bluebeam Revu, including automating documents, formatting, and proofreading.
  • Associate or bachelor s degree (accounting, business administration, sciences, or similar preferred) with 5+ years of office administration experience.
  • Valid driver s license.
  • Notary license or ability to obtain is preferred.
