POSITION SUMMARY
The Administrative Services Specialist is a full-time position. This position is responsible for managing time sensitive tasks that intersect all areas of the Administrative Services Department. This role requires prioritization of tasks and collaboratively working with colleagues to complete projects and meet deadlines.


ESSENTIAL FUNCTIONS

  • In conjunction with other departments, troubleshoots issues and provides a timely response to inquiries, to support organizational goals.
  • Manages department related correspondence (i.e. bid notices, tax notices, audit distributions, etc.)
  • Posts updates to the Agency website as necessary for the Finance Department.
  • Schedules required Agency safety drills, manages security system access list and key assignments for facilities.
  • Responsible for staff call out system including recorded messages.
  • Maintain accurate and up to date records and files.
  • Maintain all Agency contracts and agreements.
  • Manages all aspects of the Agency’s Property and Casualty Insurances.
  • Maintain Agency’s fixed asset list.
  • Maintain bus inventory for the regional transportation consortium and specialized transportation.
  • Assists the technology department with the help desk system and A/V setups for meetings.
  • Manages the copiers, toner replacement, copy counts, etc.
  • Assists with preparing Agency requests for proposals and manages the RFP process.
  • Updates worksheets for the finance department- travel, rent square footage, personnel activity reports, deposit listing, etc.
  • Review Head Start and GSRP partners and monitor grant expenses.
  • Substitutes for the Education Center receptionist during lunches and for any time off.
  • Places orders for the department, creates purchase orders, or processes online orders using a purchase card.
  • Reconciles purchase cards for the technology, facilities, hr and transportation departments.
  • Reconciling and uploading employee reimbursements.
  • First line of tech support for intranet and email log in issues.
  • Adds and maintains email groups for Human Resources.
  • Manages the Agency’s cellular telecommunications plans.
  • Performs duties within the scope of LESA policies, procedures, and objectives. Uses judgment to achieve results when faced with an ambiguous situation. Uses independent judgment within accepted practices / guidelines.
  • Assists in the coordination of opening day activities for all locations and new employee orientations.


ADDITIONAL DUTIES

  • Performs other related tasks as assigned.


EDUCATION and/or EXPERIENCE

  • This position requires knowledge equivalent to that which normally would be acquired through an Associate’s Degree (A.A.) or equivalent from a two-year college or technical school.
  • A minimum of three to five years of related experience and a broad knowledge of complex systems and procedures.

  • Has advanced knowledge of Microsoft Office Suite, including but not limited to Word, Excel, PowerPoint, and has ability to manipulate and utilize multiple features.
  • Possesses experience or knowledge regarding accounting practices.
  • Has advanced knowledge of Google, including gmail and google drive.
  • Has regular contact with others including students, general public, visitors and LESA personnel. The purpose of this interaction is to explain, clarify, or interpret information. This may include confidential or time sensitive information.
  • Requires advanced interpersonal and communication skills to establish and maintain internal and external LESA relationships. Assess and diffuses problems regularly and uses tact to handle difficult situations.
  • Ability to analyze and interpret a wide range of information.
  • Ability to remain confidential when exposed to sensitive information.
  • Strong multi-tasking skills.


PREFERRED EMPLOYMENT QUALIFICATIONS

  • Knowledge of school districts and community.
  • Previous experience in an office setting.

LANGUAGE SKILLS

Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of staff, parent, and the general public.


MATHEMATICAL SKILLS

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.


REASONING ABILITY

Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret a variety of technical instructions in mathematical or diagram form and deal with abstract and concrete variables.


OTHER SKILLS & ABILITIES

Ability to apply knowledge of current research and theory in specific field. Ability to establish and maintain effective working relationships with students, staff and the community. Ability to communicate clearly and concisely both in oral and written form. Ability to perform duties with awareness of all district requirements and Board of Education policies.


PHYSICAL DEMANDS

While performing the duties of this job, the employee is regularly required to sit and talk or hear. The employee is occasionally required to stand and walk. Specific vision abilities required by this job include close vision, and the ability to adjust focus. The position requires meeting deadlines with severe time constraints, interacting with the public and staff, irregular or extended work hours. The employee is responsible for safety, well-being, and work output of others. Must be able to meet demands from several people.


WORK ENVIRONMENT

The noise level in this position varies. When visiting a building the noise level will be loud, in the office, quiet and at meetings, moderate.
