ADMINISTRATIVE SUPPORT

This on-site position is temporary with a start time of 8:30 am – 5:30 pm, reporting directly to the Office Manager, who reports to the Vice President of Global Business Development. There is a potential of conversion to full-time employee status. To be successful in this role you must be able to juggle multiple projects simultaneously, be self-motivated, have initiative, and a “roll-up your sleeves” and “can do” attitude to get the job done.

Responsibilities

  • Clerical and organizational tasks such as organizing files, and assisting other staff members with drafting correspondences and/or messages
  • Update and maintain office documents which include, but not limited to, contractor and vendor contacts lease documents, and service reports
  • Assist in the preparation of regularly scheduled reports
  • Prepare correspondence memos, letters faxes and forms for email distribution
  • Daily visual equipment inspection and inspection of building facilities
  • Order office supplies and research new vendors for best pricing and service
  • Act as the point of contact for internal and external clients
  • Follow office operations and procedures
  • Assist in office projects and company events
  • Stock office and kitchen supplies
  • Sort and deliver mail
  • Other duties as assigned

Qualifications

  • 1+ year experience working in an office environment, preferably in a high-tech environment
  • Ability to plan, organize, multitask and prioritize work with minimal supervision.
  • Strong organizational and planning skills with problem solving skills and attention to detail
  • Excellent time management skills with a proven ability to meet deadlines.
  • Ability to handle confidential information professionally
  • Ability to maintain respectful relations to all the interfaces made on behalf of the employer
  • Excellent written and verbal communication skills
  • Excellent interpersonal and customer service skills
  • Proficient with Microsoft Office – Outlook, Word, Excel, and PowerPoint; MS Project is a plus
  • Experience with webinar and other technologies (e.g., Zoom, Webex, WordPress, Adobe) is a plus
  • Experience with graphic design tools (e.g., PhotoShop, InDesign) are a plus

  • 8 hour shift
  • Day shift
  • Monday to Friday
