Job description
The Administrative Support Specialist performs a wide range of administrative and basic Human Resource functions, including but not limited to administrative processing of payroll, related attendance and time off tracking and other required tasks that support the efficient operation of Deer Park Lumber.
Primary Responsibilities:
· Primary administrative support to the Human Resources Manager – Performs a variety of HR and administrative functions that includes, but not exclusively limited to payroll processing and export to contract payroll service and time clock management including timely updates;
· Responsible for daily maintenance and accurate update of the employee attendance spreadsheet and time/attendance program (Time Force) – Includes accurate accounting of employee PTO accrual and use for each fiscal year;
· Primary administrative support for employee relations – Addresses employee issues, needs and/or concerns and provides earnest effort to resolve employee questions/issues;
· Responsible for employee benefit enrollment packet distribution, information review with employees during benefit eligibility, benefit documentation completion and enrollment through carrier portals;
· Responsible for Trailer registration renewal, taxes and timely permits renewals – Quarterly and annual IFTA reporting compliance;
· Responsible for maintaining inventory levels of the PPE/Safety vending machine – Responsible for monitoring product levels and reordering when needed – Provide usage reports upon request;
· Responsible for assisting Forestry with large mailers
· Responsible for the sorting and distribution of incoming mail and designated for processing outgoing mail for each department;
· Primary administrative responsibility for the ordering of all office and safety supplies for the Company;
· Responsible for the internal distribution of industry periodicals and other related information;
· Responsible for preparing and distributing meeting minutes for: Safety Meeting and any other designated meetings;
· Responsible for monitoring soda machine inventory and re-ordering when necessary – Includes processing vending machine change in rolls and depositing to the designated bank;
· Designated back-up for Accounting Support Specialist job functions;
· Responsible for assisting Ownership with projects as necessary;
· Responsible for answering office phones with accepted etiquette and customer service communication, transfers calls to appropriate extensions or takes accurate and detailed message for appropriate employee;
· Protects Company value by keeping all job, financial and business related information confidential, agrees to sign a Non-Disclosure/Confidentiality Agreement to acknowledge confidentiality;
· Primary administrative support for incoming/outgoing UPS/FedEx/USMail deliveries and shipments form the administrative office – Provides timely communication to necessary department manager on items received – Maintains all shipping/receiving documentation to ensure accuracy in record;
· Responsible for performing as required errand runs that include the bank for deposits or other needed items, grocery store for supplies and/or any other related errand need;
· Primary responsibility for coordinating, planning and detailing the variety of DPL events that involve events relating to employee appreciation, yearend or other designated functions.
Skills and Competencies:
· Possess basic administrative support acumen;
· Strong organizational skills and ability to prioritize workload in order to meet tight deadlines in a fast-paced and dynamic work environment.
· Ability to analyze and problem-solve.
· Be able to demonstrate attention to details and good-record-keeping.
· Proficient in Microsoft Office (Word, Power Point, especially Excel).
· Hands-on detail-oriented tasks.
· Team player and can collaborate with other employees and departments.
· High level of interpersonal skills with demonstrated poise, tact and diplomacy
· Demonstrate a proficient level of professional skills and ability to use applicable information technology and systems to meet work needs.
· Excellent communication skills, written and verbal, with the ability to clearly communicate issues to all levels of management.
