POSITION SUMMARY
Assistant Manager/ Sales Lead Person/ Front Desk
The Front Desk Receptionist will be the first point of contact for everyone that enters the office. The duties include offering administrative support across the all medical practices in Florida. You will welcome guests and greet people who visit the business. You will coordinate front-desk activities, including distributing correspondence, answer the phone calls, provide a consultation throw the video calls if that's needed, actively do the booking for 3 locations and be able to run social media profiles
To be successful on this position, you should have a positive personality, as this is also a customer service role. You should be able to deal with tasks in a timely and effective manner while streamlining office operations. Multitasking and time management skills are essential for this position. This role may require flexibility in hours, at times. Ultimately, this individual should ensure the front desk welcomes guests positively, and executes all administrative tasks to the highest quality standards.

OBJECTIVES
- Answer and direct phone calls in a polite and friendly manner within three rings
- Welcome clients in a warm and friendly manner, and answer any questions visitors have
- Provide valuable consultation if all the beauty professionals are on duty
- Work with a spreadsheet every single minute to collect all the data
- Be able to explain every single procedure at the medspas, packages, memberships, referring programs options
- Maintain reception area and all common areas in a clean and tidy manner at all times
- Be able to help beauty professionals if they are busy
- Inspect every single equipment after work and before
- Operate standard office equipment on a regular basis, including a coffee machine, a copy machine, and a computer
- Keep detailed and accurate records of visitor requests and of calls received
- Receive deliveries, sort and distribute incoming mail
- Schedule meetings for office team as needed
- Notify office team of incoming guests
- Take inventory of supplies and restock as needed
- Operate Vagaro booking app from the phone and computer
- Check and help with laundry several times a day
- Provide consultation with client's pictures and videos before the appointment
- Be available to answer all social media inquires any time
- Take daily pictures and videos for social media accounts (new creative ideas always a +)
- Cold calls (50+/day) are mandatory for this position
- Spanish/English fluently speaking/writing required
COMPETENCIES
- Ability to work within Aloware on desktop and cellphone applications to respond to calls
- Can answer the phone within 3 rings in a prompt and polite manner
- Has an eye for aesthetics in order to monitor and maintain the office appearance and cleanliness
- Knowledge of the MYVY BEAUTY LAB sales process in order to keep interested customers engaged in our products/services
- Ability to work on specific office equipment such as printers, computers, consultation "photo-shoot" room
- Ability to quickly direct incoming shipments to the correct team member
- Ability to accurately ship out supplies or equipment to other locations
- Substantial experience with G-Suite (Sheets, Documents, GMail, Calendars, Slides)
EDUCATION AND EXPERIENCE
- High School Diploma or equivalent
- At least 2 years work experience in a similar office or customer service role
PHYSICAL REQUIREMENTS
- Prolonged periods sitting at a desk and working on a computer
