HOURS/DAYS SCHEDULE: Monday-Friday Full time position

POSITION SUMMARY:
This position supports the work of the Y, a leading nonprofit, charitable organization committed to strengthening community through youth development, healthy living and social responsibility. The Solution Services Representative at the YMCA of Metropolitan Denver serves on the Solution Services team, which oversees all the administrative, program management, scholarships, reporting, data management and back office operations for all the departments and YMCA branches. The work of the Solution Services Team positions all YMCA employees to better serve the Denver community and address critical social issues.


ESSENTIAL FUNCTIONS:

  • Provide exemplary customer service and answer any questions about YMCA programs, membership and services.
  • Keep accurate membership and program records to ensure accuracy and improve the overall operation and effectiveness of the organization. Ensures timely and accurate submission of data/reporting requests.
  • Implement and execute association policies for registration, billing, accounts receivable and payment functions.
  • Maintain and edit membership records, including merging of duplicate records to improve the integrity of the database, regular audits of memberships for age verification and update corrections by billing due dates. (Holds, changes, cancels)
  • Complete and send in monthly usage reports for Silver Sneakers and complete any other third-party billing.
  • Follow up on all program and membership collections including NSF, credit card declines, invoices, credit card expiration, etc. Follow collection and un-enrollment procedures as it related to NSF’s and non-paid participants.
  • Bill and collect in a timely manner Government Support for before and after school enrichment, day camp and ECE. Maintain accurate records on Government support participants start and end dates, and certification letters.
  • Audit weekly close outs, deposits, refunds, system credits and over payments.
  • Review scholarship applications. Calculate, track and communicate scholarship awards. Set up allocations and expiration dates.
  • Set up all programs in customer registration portal. Audit program tags, registration periods and program package redemption expiration dates.
  • Provide training to other full and part time staff who have duties related to registration. This would include program and front-line staff.
  • Remains current with the latest software updates and technological development to keep business practices accurate and efficient.

QUALIFICATIONS:

  • Position prefers a Bachelor’s degree and or Associate’s degree in administration, management, or related field and a minimum of 1 year of customer service, sales or collection experience.
  • Must be able to speak Spanish and English
  • The incumbent will demonstrate extensive experience in financial accountability, office administration, computer experience, accurate record collection and exceptional customer service.
  • Excellent interpersonal skills; willing and able to communicate with staff on standardized operations as they relate to program or membership intake procedures, registration, billing and accounts receivable functions.
  • Strong communication, customer service, problem solving, computer, accounting, written and oral communication skills needed.
  • Ability to set work priorities and handle multiple tasks while ensuring processing and policy deadlines are met.
  • Must be able to demonstrate proactive member service along with the ability to relate effectively to diverse groups of people from all social and economic segments of the community.
