TITLE:Office and Billing Coordinator
Reporting to our Executive Director (ED), use you experience of office function and organization to improve and maintain the organization’s office, facility, and billing needs. This is a full-time non-exempt benefit eligible position in Northeast Harbor, Maine.
Salary: $20-$24.00 hourly and is commensurate with experience.
About Mount Desert Nursing Association:
The Mount Desert Nursing Association (MDNA) is a not-for-profit home health agency serving the residents of Mount Desert Island. We average approximately 275 visits monthly and currently offer skilled nursing, physical therapy, occupational therapy, and home health aide visits. We have proudly been serving our community and supporting our patients desire to age in their homes for nearly 75 years!
JOB SUMMARY: This position facilitates the business operation of the MDNA. The successful candidate will be focusing his/her work in the following areas: Responsibility for Medicare and 3rd party billing, Bookkeeping, communications, handling of correspondences; filing; ordering supplies and maintenance of files. If needed, training will be provided for billing software, and tasks.
DUTIES & RESPONSIBILITIES:
OFFICE SUPPORT: To ensure efficient office operations while interfacing with health care professionals and the community we serve.
- Create a welcoming atmosphere
- Ongoing monitoring of house and grounds to ensure safety and attractiveness.
- Order office and nursing supplies: manage PAR levels and expired supplies to assure consistent and adequate stock
- Maintain security of employee files, patient files, and office records
- Assists as directed with patient files and office records (e.g. faxing, tracking correspondence and ensuring compliance).
- Orient to Patient Care Coordinator (PCC) position. This role serves as back up for the PCC position
- Other duties as identified
MEDICAL BILLING: To assure accurate and timely payment for services rendered.
- Prep medical accounts for 3rd party billing
- Send batches in for billing once “clean”
- Timely submission of Notice of Admission, and upload of Oasis into IQUES
- Assist PCC tracking signed orders, documents, and care plans to assure timely billing
- Assist in the renegotiation of insurer contracts to increase reimbursement for MDNA
BOOKKEEPING: To execute the financial transactions of the association and monitor the day-to-day financial operations within the company.
- Accounts payable, receivable, reconciliation
- Maintain upmost diligence to assure accurate data entry: QuickBooks
- Report preparation as deemed necessary by Executive Director
- Tax preparation for annual audit
- Assist in preparation of grant by collating needed data
RESPONSIBILITY TO THE BOARD OF DIRECTORS: To work with members of the board of directors to assist with their activities.
- Maintain Board membership list and data
- Provides new Board Members with updated welcome packet
- Maintain archives
- Prepare board reports as needed (monthly, quarterly)
- Other duties as requested

Qualifications:
- High school diploma or GED equivalent; medical terminology, bookkeeping and secretarial training beyond high school will be given priority
- Minimum of three years office experience. Home health care experience preferred
- Strong demonstrated proficiency in QuickBooks, Excel, Word, and PowerPoint
- Proficiency with Electronic Medical Record: pulling reports, navigating database, utilizing portals for billing (training is available)
