Job description
This position provides a host of responsibilities including data entry through client job costing analysis. Essential duties and responsibilities include gathering all data and supporting documents required to issue client invoices, reviewing and processing vendor invoices for accuracy and legitimacy, obtaining appropriate approval to pay vendor invoices, and coding vendor invoices for job cost accounting.
POSITION DUTIES & RESPONSIBILITIES
- Prepare client billing invoices as needed and forward them to clients
- Prepare supporting documents (i.e., Excel spreadsheet to support client requests) as needed
- Review media, production, and other incoming vendor invoices and work with appropriate department team members to recognize variances, reconcile invoices, and process accurate payments
- Accurate entry of vendor invoices to appropriately job cost
- Ability to work on multiple clients simultaneously
- File vendor invoices, client invoices and other documentation in Rubex (aka eFile)
- Provide backup to clients and employee set up in WebVantage
- Complete work in a timely, reliable, and confidential manner
- Provide excellent customer service to both external and internal customers
- Work in a collaborative team environment that assists each other while performing duties with minimal supervision
- Pay close attention to detail, accuracy and completeness of work performed
- Communicate effectively, including articulating issues and problem solving with others.
- Able to adapt and work in a fast-paced & ever-evolving work environment
POSITION QUALIFICATIONS
- Minimum of a 2-year accounting degree or prior job costing, vendor invoice processing and client billing experience preferred
- Microsoft Office Product Certification (Excel, Outlook, Teams, Word, Acrobat) preferred
- Working knowledge of WebVantage and Rubex (aka eFile) preferred
- Prior experience in an advertising agency

- General office environment. The noise level in the work environment is usually moderate. This position will be expected to work primarily from the Milwaukee office, with the ability to work remotely if needed
