As a Loaner Vehicle Administrator with BMW of Fairfield, you will provide support to the Service department to keep it running cleanly and smoothly; create a positive impression to the customers on arrival and leaving. You will provide excellent service and will ensure an extraordinary client experience while creating client relationships and contributing to the dealership’s goals.

The successful candidate will do the following:

  • Punctual and regular attendance.

  • Write Pre-writes for service advisor and attach DCS forms and Key read forms.

  • Contact all declined services and sell additional services and repairs from previous visits.

  • Contact customers with Parts and labor quote estimates to sell and schedule services.

  • Assist guests with loaners when needed.

  • Call no show appointments and reschedule

  • CSI calls to guests asking how their service experience was. email team, update emails, resend surveys as needed.

  • Service customer communication follow up (SAS chat)- check missed messages and notify advisor/respond to guests when needed.

  • Parts and labor doc check in throughout the day.

  • Maintain BMW required training for your role up to date.

  • Schedule guest appointments in Telematics daily.

  • Update each RO in DCS for Homedealer assignment.

  • Book We Owe appointments.

  • Stage cars for delivery to customers.

  • Cashier service guest

  • Scan and file service invoices

  • Coordinate shuttle pick ups/deliveries

  • Coordinating with Valets gas in vehicles and car washes

  • Inspect vehicles for damage and make sure all vehicles have current registration.

  • Manage toll violations and reviver plates for loaners.

  • Maintain loaner services.

  • Complete contracts and BCA forms thoroughly & accurately.

  • Maintain a professional appearance.

  • Perform other duties as may be assigned by management.

Education, Experience, and Certification:

  • High School Diploma or equivalent work experience.

  • Dealership experience a plus

  • The ability to work independently with limited supervision and the motivation to continually increase product knowledge should be evident.

  • Must possess and maintain a valid driver’s license.

  • Must possess and maintain an acceptable Motor Vehicle Record (MVR).

  • Ability to drive manual transmission vehicles.

  • Must be able to climb into and out of cars numerous times each day.

  • Requires frequent reaching, bending, repetitive hand movements, twisting, standing, walking, sitting, squatting, pushing, and pulling exerted regularly throughout a regular work shift.

  • Requires frequent lifting and carrying items weighing up to 20 pounds unassisted.

  • Ability to work in extreme weather conditions in both summer and winter.

  • Regular, punctual attendance is required.

Work Environment:

  • This position operates in a professional dealership environment.

  • Evening and Saturday work will be required as job duties demand. Scheduled shifts will be determined by the manager, with rotating shifts throughout the workweek.

  • Must maintain a clean, safe working environment at all times.

  • Must perform duties in all weather conditions.
