Description:
This position leads the financial and HR activities of the Office for Student Success and Belonging (OSSB) and is an integral part of the Associate Vice Provost's management team. In addition to serving as an advisor to the Associate Vice Provost, the position provides analysis, interpretation and reports to unit directors and unit business managers.
The position performs all duties with only general administrative supervision/direction and exercises discretion and independent judgment in all their work. In all duties, uses independent judgment, autonomous decision making, discretion, and an exceptionally high level of confidentiality.
Duties & Responsibilities
- Manage all financial and human resources activities for OSSB.
- Serve as advisor to the Associate Vice Provost and Unit Directors on matters of business and financial policies, human resources, and other University policies to ensure proper compliance.
- Lead the development of the annual budget for OSSB organization. Perform financial analysis, develop long-range plans, strategies, and develop financial reports/projections for OSSB.
- Manage and monitor all accounts, including the state budget, ICR, gift, and grant accounts. Monitor and analyze departmental expenditures to ensure funds are spent efficiently and fully satisfies departmental needs.
- Manage grants and contracts in the unit by processing grant proposals, managing the accounts to prevent overrun of expenditures, advising and updating the principal investigator on the status of accounts and closing out of projects, tracking cost-sharing/matching funds related to grants. Develop and package financial aspects of proposals to agencies.
- Plan, direct and communicate all aspects of the human resources functions including employee relations, creating job descriptions, conducting searches, processing new-hires, separations, and job changes within University systems. Process other personnel actions including FMLA requests, Vacation and Sick Leave maintenance, etc.
- Ensure compliance of required trainings including Annual Ethics Training, RNUA, ANCRA, Clery Act Training, OBFS Trainings, etc.
- Represent the office at pertinent campus committees.
- Oversee the unit’s information technology operations, assuring acquisition of appropriate hardware and software and staff support. Serve as Unit Security Contact.
- Perform other related duties and participate in special projects as assigned.
Qualifications:
- Bachelor's degree in business administration, management, or a field related to the position.
- Two (2) years of professional business, financial, and/or managerial work experience.
- Demonstrated experience working with an executive officer, Dean's Office, Chancellor's Office, or similar executive level officer.
(NOTE: A Master’s Degree in an area consistent with the duties of the position may be substituted for one (1) year (12 months) of work experience.)
Preferred Qualifications:
- Masters preferred.
- Two years experience working in financial management and human resources in a University setting.
- Thorough knowledge of finance and human resource policies and procedures. Experience with coordinating grants and funding projects and university experience preferred.
