Scope of Position:

Provide administrative, financial, and office support. Any special or unusual concern is to be brought to the immediate attention of the Director.

Knowledge, Skills and Abilities Required:

Equipment:

Individual must be familiar with computers, telephone, fax, and copier.

Organization:

Individual must have an ability to maintain a self-motivated and self-directed schedule, Able to address multiple projects in a time-sensitive manner.

Professionalism:

Individual must have the ability to interact with volunteers, and the public, in positive, professional, manner in conformity with The Salvation Army Mission Statement. Applicant must have the ability to work with people of diverse backgrounds and circumstances and must possess the self-discipline necessary to perform repetitive tasks without lowering quality of work.

Essential Duties and Responsibilities:

  • Review and make necessary adjustments to timecards. Process weekly payroll and receive paychecks from FedEx. Verify that paychecks are correct.
  • Process daily statistical data and report it monthly to DHQ.
  • Process donations and make deposits of cash and send checks to Donor Lock Box. File proper forms with DHQ Donor department and Finance.
  • Receive programs service fees from BVRP residents and make bank deposit. File proper income forms with DHQ Finance.
  • Maintain, and be personally responsible for the Petty Cash Box; and attend to requests for money for various needs.
  • Maintain Employee files as the Confidential Records Custodian and notate any time an administrator removes & returns a file.
  • Process New Hire forms according to Affirmative Action requirements.
  • Process status changes for employees.
  • Prepare employee review paperwork for supervisors and monitor review schedule.
  • Process termination forms for employees leaving Veterans & Family Center.
  • Maintain Vacation/Sick Leave records.
  • Prepare invoices to the VA for services rendered.
  • File necessary forms for the VA to follow contract requirements.
  • Prepare bills of the Veterans & Family Center for approval and scan to DHQ Finance.
  • Verify vendor invoice batch reports, received from DHQ Finance, to confirm that invoice numbers are correct, and that invoices belong to the Veterans & Family Center.
  • Verify vendor check registers, received from DHQ Finance. Stamp vendor invoices paid, with the check number from the check register. File vendor invoices.
  • Attend all required meetings either at the VFC or at DHQ.
  • Teach a Budget class once a month to the residents.
  • Be available to help at the front desk when necessary.
  • Assist in preparation of, & daily monitoring of, the VFC budget.

MISCELLANEOUS:

Education and Work Experience:

  • Education and/or work experience (2 years minimum) commensurate with the duties and responsibilities required, which will include the ability to operate a 10 key calculator by touch, typing of 40 words per minute, and knowledge of bookkeeping. Must have an ability to function under pressure and meet constant time deadlines. The individual hired for this position cannot participate in any form of substance abuse of show evidence of abuse while performing their duties of while present on Salvation Army property. If in recovery must have two years clean and sober. The individual must show respect for other employees, associates, and clients, and the goals and objectives of The Salvation Army.

The candidate chosen for this position will be required to pass a criminal history information check. Conviction of a crime will not automatically preclude employment. The circumstances involved in the conviction(s) will be considered.

The Salvation Army does have a dress code. This will be shared with you at the time of employment.
