Catering & Events Coordinator
Essential Functions:
- Provide first point of contact for groups and special events; Provide personal contact with in-house functions to ensure customer satisfaction and promote repeat and referral bookings.
- Solicit, negotiate and book new and repeat business (through telemarketing, mailings, networking, etc.) while maximizing banquet space to meet/exceed revenue goals.
- Complete contracts, prepare appropriate paperwork including banquet event orders, & Banquet Checks coordinate with the appropriate areas in the hotel, resolve any issues/complaints to ensure a quality product delivery and customer satisfaction.
- Follow up with contacts to get a post-function evaluation, make changes and book future business.
- Assist Catering team with the following tasks: answering sales telephone & email inquiries, distribution of Catering leads and tracking of catering leads, conduct appropriate walk-in tours, detailed correspondence to operational departments.
- Maintain accurate billing instructions between organization and in-house accounting department.
- Collaborate with other departments to coordinate all details specifically required for events; Prepare detailed and thorough Banquet Event Orders & Resumes for all events.
- Advise catering staff as to ability to accommodate client demands including phone requirements.
- Assist catering staff in promoting hotel, developing leads and securing re-bookings.
- Access and input data into a computer system to generate account history reports and bookings.
- Perform any other job-related duties as assigned.
Qualifications:
High School Diploma or equivalent. Minimum of one (1) years' previous hotel catering, events, front office or customer service related experience preferred. This position requires excellent organization skills and attention to detail. Must possess computer skills, including, but not limited to, use of Microsoft Outlook, Word, Excel, PowerPoint and Delphi
