Job Description:
The Omni Richmond Hotel is looking for a dynamic, energetic, Catering & Sales Coordinator to handle all administrative duties as required by the Catering, Convention Services and Sales Department. In this supportive role, you will work closely and efficiently with our team to plan and create lasting memories for guests attending a variety of events.

Pay Rate: $17/hour
Responsibilities:
Essential Functions:
  • Prioritizes workload and meets deadlines as assigned by managers. Notifies managers when there are conflicting priorities or issues with completing tasks before due date
  • Types and distributes all correspondence, including BEO’s, proposals, contracts, group resumes, reports, letters, and all other general correspondence, etc. for managers. Ensures that all correspondence is 100% accurate
  • Provides customer service to guests on the phone and in person in a friendly and professional manner in accordance with Omni’s Service Culture Standards.
  • Answers phones, qualifies inquiries to determine which sales manager will be the sales contact, and ensures that a manager speaks to caller on initial call. Ensures that all managers receive messages in a timely manner. (Messages to include name and phone number of caller, date, organization, time call received and to whom the message was given.)
  • Maintains Salesforce electronic files and ensures that all information is included in bookings, i.e. correspondence, contracts, credit applications, BEO’s, fax information, tentative and definite booking recaps.
  • Coordinates general office functions. Including ensuring that the office environment is neat and organized, equipment is properly maintained, and supplies are ordered.
  • Processes VIP Amenity requests.
  • Assist sales managers in pre-trip planning and post-trip follow up by assisting with reservations, expense planning, P.O. requests, arranging and shipping collateral.
  • Processes check and credit card payments as needed.
  • Assists convention services with management of group bookings to include reservations, managing master BEO book, reports, resume’s, general administrative functions and projects as assigned.
  • Requisition of service and repairs of office equipment.
  • Speak to or correspond with clients to confirm event details in the absence of manager.
  • Observes policies and procedures as specified in the Omni Associate Handbook.
Qualifications:
The individual must possess the following knowledge, skills, and abilities and be able to explain and demonstrate that he or she can perform the essential functions of the job.
  • Proficiency in Microsoft Office including Word, Outlook and Excel.
  • Ability to handle multiple tasks with efficiency and ease while remaining highly organized.
  • Knowledge of catering, event, and sales management systems, a plus.
  • Knowledge of hotel facilities and operations, a plus.
  • Must be guest service oriented and have excellent hospitality skills.
  • Ability to work well in a dynamic environment, where the need for adaptability, flexibility, and quick thinking are commonplace.
  • Ability to maneuver up and downstairs and between administrative offices and around hotel for mail, correspondence, copies, and faxes, etc.
  • Able to communicate effectively in English
  • High school diploma or GED
  • Minimum two to three years executive office experience preferred.
