    THIS POSITION IS FOR 8 HOURS PER DAY AT 260 DAYS PER YEAR.

    PAY FOR POSITION: PSE Salary Schedule Level 6 - $23.94


    GENERAL SUMMARY

    The Educational Service Center receptionist operates the telephone switchboard and assists with a variety of responsibilities in the Human Resources department. The receptionist is the first line communication when visitors walk into the Educational Service Center or call the district’s main line. Other primary responsibilities include assisting visitors with employment applications and the processing of applications, hiring materials and other post-hire functions including background checks, fingerprinting and security identification badges.

    ESSENTIAL FUNCTIONS

    Depending upon the individuals assignment, the District Receptionist may perform all or a combination of the following:

    • Serves as receptionist; operates multi-line telephone console to receive incoming calls and messages; greets students, parents, staff and the public; answers and refers telephone and in-person inquiries; directs patrons to destinations, takes messages.
    • Promotes positive public relations for the district.
    • Is familiar with and answers questions regarding general information relevant to the Bethel School District including its multiple sites.
    • Exhibits confidentiality, initiative, creativity and enthusiasm in performing job functions.
    • Completes background checks, fingerprinting and all components of badge processing. This position also completes background checks for volunteers.
    • Provides employment information to applicants on employment opportunities and prepares and distributes application materials; receives applications and reviews for completeness; disseminates a variety of departmental forms to employees, buildings and patrons.
    • Provides support in the physical and technical processing of applications, hiring materials, and post offer and hiring materials.
    • Provides a variety of information in regards to meetings, schedules, and procedures to students, staff and the public; maintains schedules for all ESC meeting rooms. Responsible for maintaining updates to the ESC reader board as well as maintaining ESC conference room and building calendars.
    • Assists schools, departments, building administrators and the community with messages about students and other emergencies; reassures distraught parents as needed; takes information concerning complaints; resolves and/or directs problems to appropriate administrator.
    • Build new employee profiles in WESPac; coordinate with payroll and technology to set up new employee accounts.
    • Assists human resources department with various clerical tasks such as sorting&distributing mail, data input, scheduling, copying, faxing, filing, collating, stapling, and mailings; separates and mails leave forms to employees and supervisors to appropriate buildings.
    • Assists Human Resources in tracking PSE Association Leave requests; Supplemental Contracts for School Board Review, as needed; filing and maintaining district release substitute requests; track and process Classified Leave requests, i.e. maintain for accuracy, appropriate account codes and distribution.
    • Maintains form inventory: updating, ordering, and distributing human resources forms to school sites in a timely manner. Responsible for front desk are of the ESC which includes opening/closing procedures and maintaining a clean, well organized and welcoming environment.
    • Provides attendance boundary and bus route information to parents upon request.

    OTHER FUNCTIONS

    • Assists employees and community members in all areas (emergencies, communication, forms)

    as needed.

    • May serve on various district committees and/or department work teams. Models appropriate and cooperative behavior consistent with district ethical procedures.
    • Special projects as assigned.
    • Performs related duties consistent with the scope and intent of the position.

    REPORTING RELATIONSHIPS

    Reports to the Administrative Assistant to the Executive Director of Human Resources.

    MENTAL DEMANDS

    Required to sit for prolonged periods of time and is confined to a workstation. Experiences frequent interruptions. Required to deal with distraught or difficult individuals on telephone and in person. May be involved with sensitive or confidential information or situations. Experiences continual interruptions. Required to attend to details and work with accuracy. Required to adapt to shifting priorities.

    PHYSICAL DEMANDS

    Exposed to visual display terminal; dexterity and precision required in operation of computer.

    MINIMUM QUALIFICATIONS

    Education and Experience

    Education, training, skills, and experience necessary to carry out the assignment, including on (1) year of general office/clerical work experience. Experience dealing with the public required.

    Licenses/Special Requirements

    Requires fingerprinting and background check to determine that there have been no convictions involving physical molestation, abuse, injury or neglect of a minor. Must complete training in and adhere to district infection control plan.
