Job Title: Code Clerk

Hours: Full time, 40 hrs per week

Non-Exempt

This position reports to: Director of Code Enforcement and Community Planning

Position Summary:

Under the supervision of the Director of Code Enforcement and Community Planning this position provides front desk duties at the Code Enforcement window including answering phones and assisting the public with service requests as well as varied clerical tasks for the Code

Enforcement Department.

Minimum Requirements to Hold this Position:

1) Education/Experience/Training:

  • High school diploma or GED;
  • Prior municipal, public service or customer service experience preferred.

2) Knowledge:

  • Proficiency and experience using Microsoft Word, Excel and Outlook;
  • General knowledge of office practices and procedures.

3) Licenses/Certificates/Registrations:

  • Valid Driver's License.

4) Ability To Operate or Use The Following:

  • Standard office equipment, including but not limited to: computer, printer, copy machine, fax machine, etc.

Essential Functions of the Position:

  • Exercise good judgment and initiative and carry out job functions under general supervision;
  • Follow written and oral instructions in order to accomplish assignments;
  • Prepare and edit correspondence and other documents using word processing software following department policies and procedures;
  • Organize and record data and maintain filing systems according to departmental guidelines and regulations and retention schedules in order to maintain records and to ensure security and timely access to office files and records;
  • Ability to multi-task and work effectively under time constraints to meet deadlines;
  • Work with accuracy and attention to details;
  • Calculate, check, and/or record numerical information using basic arithmetic and/or a calculator;
  • Maintain privacy of confidential records, correspondence and/or files;
  • Communicate effectively in writing, orally, and with others to understand and convey information, in a manner consistent with job functions;
  • Establish and maintain effective working relationships with co-workers, other departments, the public, etc.;
  • Carry out job functions without posing a health or safety threat to self or others;
  • Assist other departments as needed;
  • Maintain acceptable attendance standards.

Physical Demands of Job (also see page 3)

  • Ability to sit for extended periods of time while working;
  • Constant hand, fingers and arm use and excellent eye-hand coordination;
  • To occasionally function in activities involving walking, bending, squatting, reaching and climbing stairs;
  • To occasionally stand for extended periods of time;
  • Ability to hear clearly and speak intelligibly;
  • Ability to see and perform visual activity such as close paperwork, using a display monitor, reading and writing;
  • Ability to lift and/or move up to 25 lbs.

Examples of Job Duties - This is not an exclusive list but merely a few examples:

  • Answer incoming telephone calls in a courteous manner and assists the public with service requests as needed;
  • Respond to irate visitors in a calm and professional manner. Activate the employer’s workplace violence prevention and response plan if necessary;
  • Exchange information by telephone, email, or fax to answer questions, handle inquiries and complaints or provide general information;
  • Type correspondence, documents, and/or permits, etc. Edit/proofread work to detect errors;
  • Receive and record incoming municipal permit and other fees;
  • Process incoming and outgoing mail;
  • Contacts meeting attendees to verify attendance;
  • Copies/scans documents;
  • Collate pages, gather information, and/or assemble booklets and reports;
  • Compile and maintain Tax Map Parcel and other municipal files;
  • Order office supplies as necessary;
  • Performs other related duties and responsibilities as assigned.

Job Type: Full-time

Pay: $20.43 - $28.19 per hour
