Position Summary:
Under the supervision of the HIV Clinic Services Nursing Manager and the general oversight of the Director of HIV and LGBTQ+ Services, the HIV Clinic Operations Supervisor is responsible for the effective and efficient daily operations of the HIV and Infectious Disease clinic. Additional responsibilities include problem solving, building collaborative relationships with internal and external department leaders, maintaining audit preparedness based on program requirements, engaging patients in HIV care, participating in clinic committees and meetings on behalf of the HIV Department. The HIV Clinic Operations Supervisor works in partnership with the HIV RN Manager to motivate, support and train the clinical team, ensuring effective operations of the clinical workflow. In collaboration with the HIV Clinic Services Manager, the HIV Clinic Operations Supervisor contributes and implements the HIV Department strategic objectives. This leadership position includes both clinical and administrative duties in the HIV and Infectious Disease programs.

Essential Functions of the Job:
  • Oversees and routinely reviews the provider templates to identify and correct scheduling errors. Completes a weekly review of the templates to maintain a healthy productivity rate by gathering and disseminating information.
  • Ensures data collection and timely preparation of daily, weekly, monthly, quarterly, and annual HIV services reports, as required by leadership and external funding entities.
  • Conducts data entry in the Electronic Health Record and any additional databases used by the HIV Department to track clients and services provided. Performs other tasks as assigned related to data collection, data entry and maintenance.
  • Utilizes the Out of Care Report to identify and re-engage HIV-positive patients who are at risk of falling/have fallen out of care; maintains the clinic Out of Care Report, through direct data entry and delegation to other clinical team members.
  • Connects patients to Ryan White, ADAP, and other enrollment services, as well as coordinated services at CASA and Our Place. Collaborates with the outreach and coordinated services teams to implement a patient centered comprehensive approach to care and Rapid Linkage to Care.
  • Ensures patient access to medication via monitoring and response to prescription refill requests, in consultation with providers. Conducts treatment adherence counseling as needed, to support patients with achieving viral suppression. Coordinates access to patient assistance programs when appropriate.
  • Assists HIV Clinical Services Manager and HIV RN Manager in uptake and integration of special projects and new services that align with program objectives and strategic goals.
  • Participates in the recruiting, selecting, orienting, and training of new clinical team employees. Assists with efforts to promote positive team morale and collaborates closely with managers to maintain a safe, secure, and compliant work environment.
  • Oversees and ensures patient satisfaction by responding to patient concerns, resolving grievances, and addressing inquiries.
  • Supports the HIV RN Manager with the annual Ryan White pre-audit chart reviews and the annual Ryan White Survey collection.
  • Acts as point of contact for the HIV clinic by participating in site committees and meetings. Gathers feedback from ancillary departments and works with HIV Department leadership on problem-solving approaches.
  • Provides peer coaching to team members to aid in development of skills to improve patient health outcomes and create a positive patient experience.
  • Assists with coordination of training opportunities for clinical staff, including assessment of training needs, logistical arrangements, and clinic coverage as needed. Acts as point of contact for external entities that provide staff training.
  • Coordinates logistics for and takes the lead in the Practice Transformation Meetings, and actively participates in the Interdisciplinary Meetings by providing reports and updates.
  • Supports Quality Improvement activities through collaboration with clinical team and the Data & Quality Supervisor.
  • Supports the clinic workflow by functioning in the role of a Medical Assistant during staffing shortages.
  • Responsible for ordering office supplies; submits and tracks requests for equipment repairs and/or replacement. As well as plant support and maintenance orders in coordination with CSMs.
Additional Duties and Responsibilities
  • Maintains established departmental policies and procedures, objectives, quality assurance programs, safety, environmental and infection control standards.
  • Enhances professional growth and development through participation in educational programs, current literature, in-service meetings and workshops.
  • Adheres to SYHealth and department policies and procedures.
  • Performs other duties as assigned.
Job Requirements

Education Required:
  • Associate Degree in human or social services; or minimum of one year of experience coordinating and/or providing similar services in a non-profit human service agency (in lieu of Associate Degree).
Experience Required:
  • 5+ years of experience working as a Medical Assistant
  • 2+ years of experience working with people living with HIV
Certifications Required:
  • Medical Assistant training from an accredited program.
  • Basic Life Support certification (American Heart Association).

  • Bilingual (English/Spanish)
Technical Knowledge and Skills Required to Perform the Job:
  • Knowledge of HIV: physical, psychological, and emotional effects; transmission, prevention; health and social issues of people living with HIV
  • Knowledge of community resources
  • Competence in Microsoft Office Suite programs
Equipment Used:
  • General office Equipment to include Personal Computer, Phones, Fax, etc.
Working Conditions and Physical Requirements:
  • Standing, walking, sitting, lifting 40 lbs., continuous contact with clients, travel to satellite facilities, may work evenings and/or weekends
Universal Requirements:
