Position Overview:
We are in search of an ambitious and proactive compliance professional that will provide support to the Training, Quality Assurance, and Compliance team in directing the organization’s compliance and fleet management programs. You will work cohesively and cooperatively as a part of the team maintaining order and transparency with all processes and procedures that relate to the compliance and fleet management program. The successful candidate will be well-versed in quality assurance and compliance principles and able to rely on experience, sound judgement, and critical thinking to plan, organize and implement goals and objectives.
Ideal candidates will have a positive outlook and a keen eye for accuracy and attention to detail. Members of our Training, Quality Assurance and Compliance team are highly motivated, detail oriented, organized, able to multitask and meet strict deadlines.
Main responsibilities (include but not limited to):
- Establish and maintain company business licenses, certificate of Authorities, and company security licenses for all operations; existing and new
- Manage the monthly reporting and required follow up for all employee security licenses; ensuring we maintain compliance and do not allow employees to work without a valid state issued security guard license
- Communicate with insurance broker to request Certificates of Liability as needed, and maintain updated certificates for all entities
- Request performance and bid bonds for all required contracts or RFPs
- Manage and administer quarterly random drug and alcohol tests in accordance with FAA DOT standards
- Provide oversight of company SIDA badge responsibilities; station quarterly audits, maintain database of updated SIDA badge copies, non-return badge protocol
- Maintain and uphold the company Vehicle Use Policy by requiring acknowledgment of such, and running initial and periodic DMV checks for any company drivers
- Company Fleet Management: Vehicle procurement process, insurance, registrations & inspections, upfitting and coordinate delivery
- Fuel & Geolocation dashboard: Manage company fuel cards, and geolocation system- ensure compliance with vehicle use policy as it pertains to daily driving behaviors.
- Vehicle Accidents, Repair, & Maintenance program: Work with fleet management company to oversee reporting, and follow up after any vehicle accidents, as well as providing oversight of ongoing vehicle maintenance program
- Assist in maintaining accurate and up to date training reports and certificate issuance for all airport locations
- Liaise with Airport location managers and administrators to follow up on training, quality assurance, and compliance related processes and protocols
- Liaise with various HDQ departments as needed (namely Recruiting, Human Resources, and Finance/Accounting) to maintain intraoffice workflow.
- Assist in the field with compliance and vehicle related tasks as needed
- Compile, organize and distribute training and audit reports from various data sources
- Assist with special projects and business continuity as needed
- Act as an authoritative advocate on behalf of Training and Quality Assurance management team to ensure compliance with local, state, and federal requirements, and organizational adherence to processes
- Build strong and cohesive relationships with airport location stakeholders; clear and concise communication, establish efficient workflow, maintain consistent follow up
Qualifications/Requirements:
- 1-2 years prior corporate office administrative experience is a must- previous compliance experience is beneficial, but not required
- Demonstrated ability to achieve success from previous related work experience
- Ability to consistently deliver high standard of quality work to all stakeholders
- Discretion to escalate time sensitive issues appropriately with excellent follow through
- Exceptional oral and written communications skills
- Demonstrated proficiency with time management and multitasking
- Must be a self-starter that can work independently with little supervision
- Must be 18 years of age or older
- Must be legally authorized to work in the United States and have IDs needed to verify
- Must have state issued Driver’s License and a clean driving record
- Must have excellent communication and interpersonal skills
- Must be organized and detail oriented
- Must be able to multi-task and meet strict deadlines
- Willing and able to participate in a drug test (either pre-employment or random) with negative results
- Willing and able to obtain an Airport SIDA badge which requires a 10-year verifiable background check, Criminal History Records Check and Security Threat Assessment
Sensory Requirements: must be able to look at computer screens for extended amounts of time. Must have adequate sight with or without the use of corrective lenses; adequate hearing is also required for phone communications.
Environmental: Indoor office setting, indoor/outdoor setting at airport, some travel required
Education/Experience/License Requirements:
- HS Diploma or GED
- Experience working with basic office equipment (copier, scanner, fax, printer)
- Must be proficient with Microsoft Office (Word, Powerpoint, Publisher, Outlook, Excel)
Language Skills: English Proficiency required (reading, writing, and speaking)
Mathematical Skills: Basic Arithmetic

- Must have the ability to follow directions and outlined procedures.
