Grade

Clerical Officer Grade IV

30 hours pw over 4 days, subject to review. Postholder should be available to work 35 hours per week if required.


Responsible to/Report to:

The post holderwill report to the CEOs Office with a dotted line to the Academic Education Partner.


Working Relationships:

Liaise with all Medical, Nursing, Health & Social Care Professionals, Clerical / Administrative Staff, Corporate Organisaitons and Volunteers as required.


Purpose of Post:

Working within the cross departmental team, the postholder is responsible for the planning, organisation and promotion of the Marymount International Conference 2023 hosted by Marymount University Hospital & Hospice.

Under the direction of the CEOs Office, and working with colleagues across the organisation, the postholder will be responsible for the successful delivery of our International Conferences which contribute to enhancing Marymount's reputation and raising Marymount's profile among target markets and audiences.


Main Duties & Responsibilities:

Organise and take control of all aspects of the planning, organisation and on the day management of specific University hosted events and conferences. Plan, organise and manage all aspects of the event from planning, promotion, logistics, on the day management, follow up and budgeting.

Develop a written and costed integrated marketing communications plan. Agree appropriate communications channels and media with the CEOs Office. Implement the agreed promotion, monitoring all campaign elements and instigating further promotion and PR as required.

Supported by relevant colleagues in Fundraising & Marketing, plan, initiate and monitor the web presence of the event or conference, including design, content and quality of dedicated microsites.

Maintain event or conference budget records and monitor expenditure, seeking cost savings where possible without compromising the quality of the experience.

Liaise with external suppliers as required to secure products and services.

As agreed with the internal client, organise and liaise with speakers (where required), managing and communicating all logistical arrangements.

Maintain and promote internally and externally, the events calendar


Essential Criteria:

A candidate must, on the latest date for receiving completed applications for the post:

1.Minimum of two years of comparable experience in a similar role.

2.A level 8 NFQ (or equivalent) qualification.

3.Familiarity with online content management systems, social media sites, online marketing and monitoring tools, Google Analytics, AdWords and Webmaster Tools.

4.First class relationship skills combined with a polished, tactful personality to cultivate; relationships appropriately.

5.Excellent networking skills.

6.Exceptional communication ability across verbal, editing, and written forms.

7.Proficiency in Microsoft products, including PowerPoint, Excel, Word, etc


Desirable Criteria:

1A level 9 NFQ (or equivalent) qualification.

2 Access to own vehicle or holder of full Irish driving license.


Health

A candidate for and any person holding the office must be fully competent and capable of undertaking the duties attached to the office and be in a state of health such as would indicate a reasonable prospect of ability to render regular and efficient service.

Character

Outgoing personality who is comfortable in dealing with all stakeholders – both internal and external. Ability to effectively balance priorities with a gritty get things done mentality of doing the work that needs to be done at any level.


Remuneration:

The Salary scale for the post will be confirmed at offer stage.
