General Summary
Provide administrative support to Project Managers. This position is responsible for coordinating all phases of contract administration and support once a project bid has been successfully awarded through project completion.
Essential Job Accountabilities
- Assist in the process of transforming a cost estimate into the project budget using estimating and accounting software including setup of project budgets and cost codes to assist in project management.
- Coordinate and assist in purchasing material and cost coding procurement items in Procore.
- Order, process and track all project procurement on projects.
- Coordinating contract document execution between Company and other contractors/agencies.
- Coordinate, collect and track required insurance documents
- Assist in processing subcontract payments and contract billings
- Review and process payment and requests for subcontractors and suppliers
- Perform a variety of administrative and office support functions to ensure the daily operations of the project run efficiently
- Maintain/update reports to ensure compliance with Company policies as well as local, state, and federal regulations
- Collection, tracking and submittal of releases
- Complete and submit pre-liens
- Support projects by being the point of contact for project procedures and practices to ensure consistency
- Assist project managers with their daily functions to ensure department goals are achieved
- Maintain project files to ensure they remain organized and current
- Track submittals and requests for information
- Create and track extra work tickets, change orders and claim information
- Run and distribute cost reports to assist in project management as needed
- Ability to work independently and prioritize multiple tasks under tight deadlines
- Other duties as assigned.
Knowledge, skills, and abilities
- Proficiency with MS Office products (Word, Excel, Outlook, etc.)
- Excellent interpersonal, communication (verbal and written), and organizational skills
- High attention to detail and accuracy
- Working knowledge of Sage Intaact accounting software and Procore software preferred
- Basic understanding of IT hardware and software terminology
- Able to learn new computer systems
- Basic understanding of job cost tracking
- Working knowledge of construction equipment, materials, and terminology preferred
- Ability to operate with all levels of staff
- Willingness to take on additional tasks as needed
- Ability to work independently and prioritize multiple tasks under tight deadlines
Education and Work Experience
- High School diploma or Equivalent required
- BA or Associates Degree or equivalent experience preferred
- 2+ years of experience in the construction industry preferred
