#1 Cochran Automotive Group is Western, Pennsylvania’s largest auto dealership group with over 30 distinct operations. Because of our significant growth, we are looking to add the position of Contract Administrator to our Real Estate team.

Working with the Senior Facility Director and Project Manager, the Contract Administrator will perform a variety of administrative and clerical tasks as part of their daily duties in this role.

Responsibilities Include (but are not limited to):

  • Assisting in the preparation of project contracts as well as revising contracts as directed by the Project Manager or Senior Facility Director
  • Tracking real estate deadlines and payments
  • Providing summaries and details about contracts, while ensuring that the execution meets the policies of the company and the needs of the project
  • Assisting in the planning of proposals and contract administration
  • Ensuring that all parties involved in the contract comply with owner specifications, legal regulations, and government requirements
  • Preparing and dissecting information to any involved parties in regard to the status of the contract
  • Coordinating meetings with contractors
  • Maintaining files for every contract, including payment schedules, billing invoices, correspondence, clarifications, deviations/changes, and amendments
  • Tracking any correspondence and authorizations required for projects
  • Preparing change notices and monitoring the performance of the contract, including the contractor status, reporting, and any deliverables required by the owner
  • Maintaining organized, detailed files

Additional Duties Include:

  • Collaborating with people across various levels of an organization to create and maintain a strategy for contract management
  • Follow up on all payment terms
  • Coordinate with legal and internal teams
  • Maintain communication with members of the management team for all contract status changes
  • Act as a liaison between external and internal parties

Candidate Requirements:

  • Associates degree in business administration, or previous work-related experience in a contract administrator role (particular real estate or construction based)
  • Ability to interact and collaborate with team members in varying levels within the company, including shareholders, external partners, managers, staff, and contract workers
  • Knowledge of legal requirements associated with contracts
  • Strong organizational and analytical skills
  • Accounting experience is a plus
  • Excellent attention to detail and ability to work independently
  • Excellent written and verbal communication skills
