Job Summary
The Project Coordinator will also have the opportunity to work on projects across the lab, gaining exposure to the breadth of programmatic areas, from maternal and child health, rural home hospital care, serious illness care, vaccine delivery, and safe surgery. In addition, this role will also have the opportunity to work on cross-organizational projects and initiatives in support of Ariadne Labs mission and strategic goals.
This position will comprehensively support project and platform administrative, operational, knowledge management, and communications needs. These include, but are not limited to: event planning, supporting internal and external communications, meeting scheduling and management; developing and monitoring documentation systems, workplans and other tracking tools for discrete projects; drafting or otherwise contributing to the development of reports, presentations, and deliverables; engaging with the Associate Director of Ariadne Labs Project Management and other stakeholders in thought partnership to continuously improve coordination of the position’s portfolio of work.
In addition to their role with a specific project team or teams, the Project Coordinator is expected to be an active member of the Ariadne Labs organization, supporting Ariadne Labs’ mission, participating in the success of Ariadne Labs as a whole, and demonstrating Ariadne Labs’ values on a daily basis.

Position Description
- Perform administrative duties under general supervision at a high proficiency level (hiring manager may ask for a writing sample and/or administer a skills test during the interview process)
- Support teams including on-site support for meetings, presentations, and special events, managing correspondences, preparing agendas, preparing visual aids or materials, room set-up, and taking minutes;
- Partner with the Events & Development Coordinator to plan internal and external events
- Develop mechanisms and systems for tracking event, project and platform details; Assist with the development of work plans, timelines, and reports to funders
- Support the planning of meetings including coordinating with hotels, venues, catering, creating itineraries, and booking travel for guests
- Build strong working relationships with both internal and external stakeholders to move the work forward
- Assist with the development and maintenance of program materials
- Represent Ariadne Labs professionally with staff, guests, donors, callers, and external visitors; greet guests, candidates, and donors
- Process financial tasks including processing expenses and reimbursements, travel booking, and memberships for business-related activities
- Maintain contact information for external collaborators, partners, and stakeholders
- Assist with the logistics, documentation, and organization of applying for grants
- Maintain filing systems, including version control and organization of knowledge management systems
- Conduct targeted literature searches as needed
- Participate in organization wide meetings that promote understanding of Ariadne Labs and provide professional development opportunities
- Perform other related duties as required; provide cross coverage as needed
PLEASE NOTE: This position has a term appointment of 1 year from date of hire with the possibility of extension. This is a hybrid position and this position will be based in Boston, MA. Additional detail pertaining to this position will be discussed during the interview process. All remote work must be performed in a state in which Harvard is registered to do business (Connecticut, Massachusetts, Maryland, Maine, New Hampshire, New York, Rhode Island, Vermont, California (exempt staff only), Georgia, Illinois, New Jersey, Virginia, and Washington).

Basic Qualifications
- 4+ years of relevant work experience is required; a combination of education and experience may be considered.
Additional Qualifications and Skills
- Microsoft Office Suite
- Familiarity with the Google information environment is valuable (e.g. Google Docs, Google Sheets, Google Drive, etc.)
- Set-up video and audio conference calls and virtual meetings
- Proficiency with personal computers, spreadsheet, graphic, and database programs
- Written and verbal communication skills
- Project management skills
- Positive, flexible, professional, and a can-do attitude
- Work independently and uses strong interpersonal skills to problem-solve complex issues
- Develop timelines and meet competing deadlines on time and with high caliber deliverables
