JOB PURPOSE:
Stanford University has an immediate opening for a full-time Coordinator of Student Organizations in the Office of Student Engagement (OSE), an energetic office that supports student organization-produced programs and events and is characterized by frequent student drop-ins seeking help and advice. This position is integral to creating a welcoming and helpful space for the students we serve and ensures that all key support systems for Stanford student organizations are managed efficiently, promptly and with a strong student-orientation, educational and learning focus.
This position reports to the Associate Director of Student Organizations and Leadership Development.
CORE DUTIES:
- Oversee, review and administer student records by analyzing data, counseling students and providing recommendations that require interpretation and influence decisions. Make exceptions on issues of eligibility, course enrollment and program requirements.
o Review and approve all student organization registration updates, verify details of student leader information, including student status and organization constitutions.
o Manage the volunteer student organization constitution reviews and changes process.
- Collect and analyze data from multiple sources including student feedback, surveys, trend reports, and data analytics. Prepare and summarize reports and make recommendations to enhance offerings, such as programs and courses and to influence current processes and policies.
o Collect and analyze data from Cardinal Engage, student feedback, and various student organization surveys. Make recommendations to the Assistant Director to enhance support for student orgs and advisors including suggestions for leadership development programs and workshops to help students better lead their student organizations.
- Provide advice to students on a range of issues, including, but not limited to, academic progress, academic program policies, career plans, accessibility, community standards, etc., to guide them in making appropriate choices and decisions.
o Advise key student organizations as determined by Associate Director, Assistant Director and the Coordinator of Student Organizations. Provide advice to students on a range of event planning issues, including, but not limited to, budgeting, funding resources, program planning, accessibility, University policy, community standards, etc., to guide them in making appropriate choices and decisions.
o Advise and manage low/middle scale and events and activities such as speaker panels, small conferences, fireside chats, and small-scale social events.
- Develop recommendations and collaborate with staff, faculty and other offices to resolve programmatic issues within the school and across functional units, (such as strategizing to ensure optimal enrollment).
o Collaborate and work closely with various university partners/stakeholders such as the Centers for Equity, Community and Leadership, the Haas Center for Public Service, the Office of Religious Life, Athletics, and other University departments in support of student organizations.
- Apprise students of research, fellowship and scholarship opportunities. Participate in related student recruitment and selection.
o Provide student org leaders and campus partners information on additional opportunities for funding including The Stanford Fund, the Solidarity Fund, and ASSU grant funding.
- Provide a first line response to identify students in crisis and refer to appropriate resources, as needed.
o Advise Associate Director and Assistant Director on experiences and understanding of risk management best practices, legal implications, Title IX concerns, and conduct issues as they relate to student organizations.
- Develop, analyze influence and review policies, processes and programs by incorporating feedback and trend data learned from first-line interactions with students. Advise manager and team on policy updates and provide recommendations for implementation of changes.
o Analyze and review policies and processes by incorporating feedback from student orgs and data from Cardinal Engage.
o Advise Associate Director and Assistant Director on policy updates, advising protocol, and provide recommendations for implementation of changes.
- Identify trends, perform needs analysis, and participate in the implementation and testing of new technology.
o Work with the Assistant Director to identify best ways to implement software related to supporting student orgs.
- May develop marketing materials and strategies for program activities and outreach functions. Assist in planning and developing webinars, education fairs and other external functions.
o Develop and implement online and in-person training sessions focused on helping student org leaders understand processes and procedures for org registration, event registration, and constitution updates.
- May provide oversight with the administration of financial processes such as financial reimbursements, data entry, reviewing terms and conditions regarding contracts, understanding vendor requirements, and following up and resolving issues.
o Develop recommendations and resolve programmatic issues to ensure student org programs are organized, follow all policies, budgeted appropriately, planned according to the procedures determined by the Office of Student Engagement.

The expected pay range for this position is $64,480 to $73,676 per annum. Stanford University provides pay ranges representing its good faith estimate of what the university reasonably expects to pay for a position. The pay offered to a selected candidate will be determined based on factors such as (but not limited to) the scope and responsibilities of the position, the qualifications of the selected candidate, departmental budget availability, internal equity, geographic location and external market pay for comparable jobs.
MINIMUM REQUIREMENTS
Education and Experience:
- A bachelor’s degree and two years of relevant experience, or combination of education and relevant experience. Master’s degree in higher education, counseling or student affairs preferred.

- Ability to develop strong relationships with students and other constituents in a warm and professional manner
- Understanding of student development theories and training
- Knowledge of diversity and inclusion best practices.
- Ability to work collaboratively with individuals and groups from various identities, cultures, and backgrounds
- Strong communication skills to clearly and effectively communicate information to internal and external audiences, client groups, and management
- Advanced analysis and problem-solving skills
- Experience with Microsoft Office Suite, Box, and Google Drive;
- Understanding of financial transactions
- Ability to ensure and apply compliance with legal, financial, and university policies and external regulations.

PHYSICAL REQUIREMENTS*:
- Frequently sit, perform desk-based computer tasks.
- Occasionally stand, walk, twist, use fine manipulation, grasp, use a telephone, write by hand, sort and file paperwork, lift, carry, push, and pull objects that weigh up to 10 pounds.

WORKING CONDITIONS:
