Our Client is expanding and requires an experienced Customer Service/Office Administrator to join their team.
This is a Full Time Permanent Role, Hours is 9am to 5.30pm Monday to Friday
This is a Full Time Office based role
Job Description: The Customer Service & Office Administrator is responsible for the management of reception, for the delegation of telephone queries, the input of data into the Business Management system and the scheduling of customer deliveries. The Accounts and Office Administrator is required to carry out their duties in accordance with the ISO 9001 Quality Management System, ISO 14001 & ISO 45001 Management System. Under ISO 45001,
Principal Duties & Responsibilities:
· The Customer Service & Office Administrator are responsible: to uphold procedures for maintaining high standards of customer satisfaction.
· Answering all calls received through the company switched board and delegation of all telephone calls to the relevant personnel.
· Responsible for the input of data into the Business Management system. Taking sales orders, entering them on Business Management, transferring to the production schedule and production of necessary paperwork.
· Responsible for communicating with all organizational departments, customers, suppliers, general enquiries, the bank and all visitors.
· Responsible for ensuring that all visitors sign the organizational visitor book.
· Responsible for planning deliveries with the production personnel and communicating expected delivery dates to all relevant people in a timely manner.
· Responsible for booking deliveries with haulages and delivery companies.
· Responsible for producing required paperwork for the production team.
· Responsible for completing corrective and preventive actions as required.
· Responsible for good communication with customers, suppliers and all departments.
· Responsible for filing documents and processing work in an orderly fashion as can be followed through by another employees if required.
· Responsible for other administrative procedures or requirements that may arise in the organisation.
· Responsible for opening post and delivering the post to the desk of the appropriate person.
· Must complete all mandatory training provided by the organisation.
· Required to carry out their duties in accordance with ISO 9001 Quality Management System, ISO 14001 & ISO 45001 Management System.
Assist colleagues, when necessary, with the following tasks:
· Logging and processing of all Sales Receipts.
· Responsible for the purchase order processing of materials.
· Responsible for the processing of all purchase and sales invoices.
· Responsible for contacting debtors to request payment.
Selection Criteria/Person Specification:
- Proven experience as an office administrator, office assistant, logistic planner or relevant role to complete the required tasks competently.
- Ability to work in a fast-paced environment and adapt to changing needs,
- Positive “Can Do” attitude,
- Excellent communications skills,
- Excellent phone manner
- Excellent organizational skills,
- Commitment to customer satisfaction,
- Team player willing to work cross functionally,
- Ability to multi task and adhere to deadlines,
- Good knowledge of accounting principles and excellent knowledge of MS Office.
